Job Overview:

The Paralegal & Compliance Officer provides administrative, project management and document management support to the organization. This individual will be expected to generate a variety of standard legal documents and legal correspondence and to act as project coordinator for both global compliance and legal-related activities, including litigation and related insurance matters. This position requires maintaining strict confidentiality with respect to very sensitive information.

Responsibilities:

  • Provide the organization with notary services. Which are commonly required for a variety of legal documents, including contracts, corporate documents, and powers of attorney.
  • Prepare, edit and quality control all basic legal documents relating to legal presence around the world.
  • Lead the process of registering, creating and closing legal entities in different states and countries.
  • Organize and maintain sensitive files.
  • Be first point of communication for legal issues, including answering inquiries and helping to prioritize and organize incoming legal requests.
  • Assist with administration of compliance database.
  • Work with senior leadership and external legal counsel to identify, prioritize, and resolve compliance matters.
  • Track and follow-up on all pending litigation matters.
  • Work to provide aid and documentation to outside counsels.
  • Track and follow-up on all legal-related compliance issues around world, in collaboration with the senior leadership and Human Resources as needed.
  • Initiate and follow up on questions to outside international legal counsel.
  • Assist in identifying new law firms and attorneys when needed.
  • Act as point person for routine institutional and affiliated contract review and help ensure efficiency of this process.
  • Maintain & oversee annual charitable registration process.
  • Organize and respond to outside counsel requests and billing around the globe.
  • Maintain strict confidentiality on handling HR and other legal matters.
  • Exercise independent judgment when needed to drive projects to completion.

Experience & Qualifications:

  • Bachelor's degree or equivalent work experience
  • Notary Certification
  • At least 5 years of experience working as a paralegal, preferably in a nonprofit organization.
  • Excellent communication skills, including the ability to communicate legal concepts to non-legal stakeholders.
  • Excellent interpersonal, oral, and written communication skills.
  • Demonstrated ability to manage multiple priorities and work independently in a fast-paced environment.
  • Experience drafting and reviewing legal documents.
  • Ability to maintain strict confidentiality and handle sensitive information with discretion.
  • Independent Judgment and initiative
  • Knowledge of Outlook, Microsoft Office products, database, and information management systems
