Purpose of Division:

The Field Operations Division of NeighborWorks America is responsible for delivering services, grants, and technical assistance to approximately 250 NeighborWorks organizations with the overall objective of sustaining a network of excellence that creates opportunities for people to live in affordable homes, improve their lives and strengthen their communities. The Field Operations Division is overseen by the Senior Vice President (SVP) of Field Operations, who is responsible for establishing the priorities and procedures for service delivery, grant programs and the identification of new affiliates. The primary relationship with NeighborWorks organizations is provided through the field office staff-- including the Regional Vice Presidents (RVPs), Senior Director (SDs), Cross Regional Operations Manager (CROMs), Relationship Managers (RMs), Public Affairs & Communications Advisors (PACAs), and Regional Operations Coordinators (ROCs) -- in four regions across the country.

Position Summary:

Based in the Western Region, the Regional Operations Coordinator assists with the regional office, grants administration, budget management, event coordination and planning, and reporting and monitoring of the business unit’s activities for the region. The ROC will report to the Senior Director and work closely with the Cross Regional Operations Manager. While the Operations Managers oversee the larger picture and coordinate with the field budget and finance manager, the ROCs move the work forward by supporting or managing the day-to-day details toward completion of established goals. They provide effective communication and collaboration at multiple internal and external levels. The ROCs also serve as a direct contact to their respective region and provides effective customer service to NWOs, the general public, and other divisions of NeighborWorks America.

Primary Duties/Responsibilities:

  • Providing timely and efficient operational support to the region, including managing documents, correspondence, reports, presentations, etc.; purchasing office supplies, and maintaining filing systems;
  • Provide planning and logistics assistance for convenings, sponsored events, staff meetings, and peer learning opportunities with local NWOs.
  • Provide travel assistance and scheduling support to the Regional VP and Senior Director.
  • Budget management including managing and providing timely updates for monthly regional operating expenses and professional services, reconciliation of the region’s Purchase Card, and submission of accounts payable vouchers.
  • Facilitate regional calendar maintenance with accurate and current information of corporate and business unit activities and deadlines
  • Manage Training Institute Slot applications by providing analysis of applications, regional distribution processes, and resolution of related registration issues on behalf of external customers.
  • Provide assistance to regional staff in areas of technical issues and day-to-day office operations, including establishment and maintenance of best practices for various database systems and use.
  • Facilitate procurement process on behalf of the region for convening, vendor contracts, office supplies and facilities.
  • Facilities management to include office equipment maintenance and evaluation, and acting as point of contact with building management, approved vendors, and related internal business units.
  • In coordination with the Senior Director and CROM, ensure the regional office is adhering to all corporate deadlines and operating efficiently.
  • Provide customer service to and act as primary point of contact with the general public and NWO Administrative staff, and serve as liaison to certain divisions as appropriate.

Secondary Duties/Responsibilities:

  • Act as back up in the event of CROM absence
  • Support regular grantmaking processes including the assignment, review and scoring of Regional and National Grants.
  • Partner with Relationship Managers in the onboarding of new affiliates to the Network.
  • Participate in Initiatives and Task Groups to test new systems, increase efficiencies, and establish best practices in the field
  • Conduct periodic research or special projects as required.
  • Perform delegated responsibilities as assigned by the Cross Regional Operations Manager in his/her absence in coordination with regional field management.
  • Serve as region and/or Field division representative to division and/or corporate initiatives, programs, and working groups as agreed to by the supervisor.

Nature of Work Contacts:
Field office staff and NeighborWorks organization staff. Other contacts include NeighborWorks America vendors, partners and consultants and customers.

Fiscal Responsibilities:
Responsible for preparing payment vouchers and tracking basic expenditures. Travel and purchase card issued.

 

Position Requirements

Required Minimum Qualifications:
(a) Experience: A minimum of three (3) to five (5) years’ related administrative professional experience or an equivalent
combination of education and experience.
(b) Licenses, Certifications: None specified.
(c) Competencies, Knowledge, Skills & Abilities: Strong project management skills with a focus on meeting deadlines. Must have exceptional attention to detail and be able to comfortably multi-task. Ability to exercise considerable initiative and follow-through to completion. Excellent written and verbal communication skills in order to provide internal and external customers appropriate and timely service.
(d) Technology: Must have at least intermediate (preferably advanced) Microsoft Office Suite skills specifically in Outlook, Word, Excel and PowerPoint.

Preferred Qualifications:
(a) A bachelor’s degree in a related field.

(b) Database systems experience a plus.

(c) Second language skills a plus.

Working Conditions:
(a) Travel: up to 15%.
(b) Physical/Sensory Demands: Fast paced, team oriented work environment, extensive computer usage. Significant use of off-site communication methods, voice conferencing, video conferencing and WebEx. Light lifting up to 15 pounds.
