Primary Responsibilities
Providing a warm, welcoming experience for our members and their guests over the phone and via email. Communicate with members regarding reservations and act as a liaison between members, the Front of House, and food and beverage teams. Ensure that reservations are made and confirmed in compliance with The Quin service standards and ensuring high member satisfaction and an exceptional dining experience. Manage all incoming phone calls, directing members to the appropriate departments and managing tasks at hand.
ABOUT THIS ROLE
- Understands all policies, procedures, standards, specifications, guidelines for The Quin
- Answer all incoming phone calls, managing tasks and directing members to the appropriate department when requested
- Oversee and manage the Reservations Outlook inbox
- Manage day of reservations ensuring a smooth flow of reservations
- Review and manage future reservations, maximizing seating
- Assist with future reservations and bookings for special events
- Manage special events email inbox and reservations
- Work with the Reservationist Team to flag VIP and special occasion reservations and communicate them to management
- Alert restaurant team of any conflicting reservation times or problematic requests
- Assist F&B Managers with reservation confirmations, modifications and follow ups as requested
- Receive, track and own resolution of all incoming member requests
- Be attentive and present throughout your shift
- Alert the Ambassador and Reservationist Teams of any notable items
- Have a thorough knowledge of menus and current specials in all applicable venues
- Thorough knowledge of club policies, information, and guest rooms
- Assisting with printing menus
- Coordinating with culinary outlet chef with food allergens and dietary restrictions
- Coordination with beverage manager for any special wine or cocktail requests
- Finding new solutions to maximize the reservations
- Working with the Ambassadors and Reservationist Teams to cover the front desk as needed
- Detailed reporting of usage, emails, calls, duration, number of incoming outgoing calls
- Any additional tasks as assigned
