Description

GENERAL PURPOSE OF POSITION: To provide administrative support to the Office of the Chief Administrative Officer as needed and serve as the logistical liaison between the General Synod Administrator and Associate Administrator and the convention center.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

  • Provide administrative support to the Office of the Chief Administrative Officer (CAO) as directed by the Associate for Coordinated Administration and Associated Administrator of the General Synod (ACAAGS)

  • Implement and manage assigned projects for accurate and timely completion in ways that manifest cooperation and collaboration with internal and external partners and that reflect positively on the Office of the Chief Administrative Officer. Projects will include but are not limited to assignments related to General Synod in support of the overall Synod planning.

  • Serve as the liaison to the General Synod Convention center providing banquet event orders, room-set up, AV requests and other communications related to the needs of the General Synod.

  • Attend and contribute in all pre-Synod planning meetings.

  • Attend the Pre-Con Meeting with the convention center.

  • During General Synod provide on-site logistical support and ‘trouble-shooting” assistance as directed by the (ACAAGS).

  • Prepare for approval all expense reimbursements for board members and General Synod Volunteers.

  • Assemble back up documentation and prepare check requisitions as requested.

  • Assemble back up documentation, reconcile and allocate to the appropriate accounts for the travel billing for the Office of the General Minister and President (OGMP).

  • Assist in preparing materials for meetings as requested.

  • Serve as recorder for meetings as requested.

  • Prepare and type correspondence.

  • Maintain databases, mailing lists and filing system.

  • Maintain full familiarity with the work and function of the Office of the Chief Administrative Officer.

  • Reinforce the efforts of the CAO to create a culture of exemplary customer service throughout the National Setting of the United Church of Christ and beyond.

  • Serve as a role model and mentor for administrative staff in the National Setting.

  • Other duties as assigned.

 
Position Requirements

MINIMUM QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required.

 

  • College degree or equivalent and demonstrated experience working in the planning or related field.

  • Strong event planning background.

  • General secretarial experience and training

  • Strong problem solving skills.

  • Foster a spirit of cooperation and a can-do attitude

  • Excellent written and verbal communication skills.

  • Must be a self-starter, able to prioritize work, meet deadlines and coordinate numerous tasks and projects with minimum supervision.

  • Ability to edit materials; proofreading skills.

  • Demonstrated word processing skills and knowledge of MSWord and Excel.

  • Strong understanding of the need for confidentiality and discretion; managerial and

      human relation skills.

  • Ability and willingness to travel on a limited basis.

  • Ability and willingness to contribute to developing and participating in a service oriented environment.

  • Knowledge and appreciation of the United Church of Christ polity, structure, and its mission.
