Position Description

The Receptionist will be responsible for a variety of duties, including answering inquiries from and obtaining information for the general public, customers, visitors, and other parties. The Receptionist will also provide information regarding Shift4, its products and services, and activities conducted at the building.

In order to be successful, a candidate for this position must demonstrate strong customer service and organizational skills. They must be a self-starter who is flexible and has the capability to work independently and as a part of a team.

Essential Functions

  • Operate multi-line Altigen phone system to screen and forward calls, provide information, take messages, and schedule appointments
  • Interact with customers to provide information in response to inquiries about the establishment, such as location and services provided
  • Monitor and enforce the visitor and vendor security policy
  • Issue badges to all vendors and visitors when they enter the building, monitoring the number of badges issued and returned
  • Greet persons entering the building, determine the nature and purpose of their visit, and direct or escort them to the appropriate parties or destinations
  • Report any issues to the appropriate person for immediate resolution
  • Maintain and update appointment and conference room calendars
  • Ensure the conference rooms are clean, organized, and ready for use
  • File and maintain records as requested
  • Perform administrative support tasks as requested by departments
  • Tidy and maintain the reception area, ensuring refrigerators in the front of the building are stocked with water at all times
  • Provide support to the Facilities and Operations teams
  • Adhere to all company policies and procedures
  • Receive and document mail and parcel deliveries
  • Other duties as assigned by management

  • Professional communication skills when dealing with internal and external parties
  • Must be detail-oriented, accurate, and thorough
  • Exceptional organizational skills
  • Flexible to a changing environment, acknowledging urgency when necessary
  • Must be a team player with a positive, can-do attitude
  • Proficiency with Microsoft Office products (e.g., Word, Excel, Outlook, etc.)
  • Must be dependable and punctual with a professional personal presentation

Education and Experience

  • High school diploma or 2 years equivalent combination of training, education, and experience that demonstrates the ability to perform the duties of the position
  • Experience working with Altigen phone system a plus

  • May occasionally lift and/or move up to 25 lbs.
