OVERVIEW: This position is responsible for assisting and augmenting the Primary and Secondary Nursing Positions with all basic clinic nursing procedures and tasks on call for the nursing department. This employee will also be a super-floater within the administrative departments, requiring comprehensive prior experience in reception, medical records, HIPAA compliance, electronic health record and referral coordination. The employee occupying this position will have excellent customer service skills, be able to multitask in a fast-paced medical office environment and is responsible for being able to fill in for all positions that benefit patient clinic services, coordination of care for multiple providers.

ESSENTIAL FUNCTIONS OF JOB:

  • Work in coordination with and under the supervision of the PRIMARY CLINIC NURSE

  • Assist the PRIMARY NURSE and SECONDARY NURSE with any task needed and appropriate for training and experience
  • Performance of initial check-in procedures of patients including recording of accurate vital signs and other pertinent information
  • Preparation, stocking and maintenance of exam/clinical areas
  • Filing and maintenance of medical records in coordination with other staff
  • Assist providers as clinical standby or with procedures using appropriate sterile technique and blood borne pathogen precautions
  • Set up clean exam rooms for pap smears and minor surgical procedures
  • Perform cleaning and sterilization of medical equipment
  • Perform basic lab procedures including venipuncture, finger puncture, urine dip stick testing, hematocrits, pregnancy tests, rapid strep tests, and other basic lab tests
  • Perform EKG testing and oximetry testing as necessary
  • Transmit clinical information in timely and accurate manner between medical providers and patients regarding medication refills and other issues as appropriate
  • Document accurately all care or advice provided
  • Participate in Quality Improvement activities as directed by Medical Director/ Nurse supervisor
  • Support clinic as necessary to achieve Scope of Work goals as developed by Medical Director
  • Perform backup support in assuming roles of the PRIMARY CLINIC NURSING POSITION and other staff roles as necessary in case of illness or absence
  • Perform basic telephone triage within scope of training with appropriate referral to PRIMARY POSITION or providers
  • Perform basic life support & first aid
  • Perform all clinical activities within CLIA/OSHA standards and clinic policy/protocol
  • Administer standard medications, injections and immunizations as appropriate for training and certification
  • Perform ear lavage
  • Assume other duties as assigned by PRIMARY NURSING POSITION or Medical Director
  • Assist PRIMARY NURSING POSITION in maintenance of inventory and record keeping regarding clinic supplies, medications and immunizations

OTHER DUTIES AND REQUIREMENTS as Medical Assistant:

  • Pharmaceuticals and medical supplies ordering,stock rotation including procedure trays and room cabinets

  • Patient prep, pre and post minor surgical procedures

  • Patient prep & positioning and assisting provider(s) for intra-joint injections

  • Tympanometry and audiometry.

  • Wound care and dressing changes

  • Surgical assistant to providers for clinic based minor surgical procedures

  • Skin lesion excision

  • Laceration repairs

  • Toenail excision

  • Concluding patient visits on behalf of provider, including review of patient instructions for completeness

ADMINISTRATIVE FLOAT & REFERRAL COORDINATOR RESPONSIBILITIES:

  Receptionist primary functions:

  • Phone and in person appointment scheduling for multiple family practice provider schedules / including acupuncture, massage and other complimentary alternative medicine providers’ schedules

  • Check patients into database upon check-in and check-out

Referral Coordinator Responsibilities

  • Process referral based on Provider indication of priority

  • Completion of demographics, medical diagnostic coding on referral forms

  • Entry of data in RPMS RCIS package

  • Act as liaison for Providers with insurance companies and other specialists to obtain prior authorization numbers per insurance requirements.

  • Ability to identify, gather, sort and prepare most pertinent medical data to send with referral forms to specialists

  • Coordinate and follow up as needed for Contract Health Services and Managed Care referrals

  • Contact patients by phone and letter (to all patients with registered phone number) to notify of referral, date and times and other information they will need/or need to take to specialist appointment

  • Priority I and II’s are to be called to specialist and to patient to inform a.s.a.p.

  • Maintains log system for follow up to referrals by documenting patients accessing care based on the referral into the RPMS Referral Care Package

  • All positions expect other duties as assigned by supervisors and Health Director

  • Run Provider One copies of eligibility for DSHS and/ or Medicare with DSHS as part of the prep to insure patient is covered for month of service if there is none for that date of service

  • Ask patients for and correctly enter all other insurance types of information from card copies and enter into RPMS page 4

  • Review Patient Registration on check-in to verify all pages needed to update the E.H.R. at time of check-in

  • Greet patient/ visitors and obtain any new information for demographics, insurance eligibility, downloading Provider One for data. PAO-21’s, patient registration packets and update RPMS.

  • Correct any insurance or demographic errors on patient label at this time and place in chart

  • Prepare new patients charts as needed and enter into RPMS

  • Cover phones over lunch hour staggered with and in cooperation with other reception staff as assigned

  • Do phone back up to Lead reception and process chart requests from patients to appropriate staff

  • Make new patient packets as needed

  • Call to confirm appointments for next business day

  • Assist in keeping up with lead reception for voicemail to respond to patient inquiries quickly throughout the day

  • Other duties as assigned /cross-trained for Lead Receptionist position/cross-trained Medical Records Room, fax Releases and Authorizations to other facilities as required

Medical Records Clerk primary functions:

  • Files and pulls charts for day’s business during course of day

  • Files medical records in patient charts in prescribed sequential order according to clinic policy

  • Retrieves charts for medical personnel and other staff as required

  • Maintains a chart checkout system to identify and track chart location

  • Retires and archives patient charts in accordance with clinic guidelines

  • Reviews incoming medical records to assure Provider review prior to filing in chart

  • Reviews patient encounter forms and other patient care documentation for completeness prior to filing in the medical record

  • Copies medical records and other miscellaneous documents as necessary

  • Complies with clinic policy and the Privacy Act guidelines when releasing records to other providers and agencies

  • Assures that necessary consent(s) for release of medical information have been obtained and are readily available for review upon request

  • Ability to maintain friendly and courteous manner in all patient and staff encounters

  • Ability to read, understand and follow oral and written communication

  • Ability to communicate clearly orally and in writing

  • Ability to operate computers, fax machines, telephones and photocopy machines

  • Appropriate professional appearance and behavior at all times

  • Must be flexible in adapting to rapidly changing clinic environment as changes roles within the department

 
Position Requirements

MINIMUM QUALIFICATIONS:

  • WA State Medical Assistant certification required

  • OSHA/CLIA knowledge/training

  • BLS/CPR certification

  • Minimum of 2 years’ experience in medical office or hospital environment and must be experienced in all facets of medical assistance, reception, medical records and referrals

  • Basic knowledge of medical office procedures, billing and terminology

  • Ability to perform ALL of the responsibilities listed in all sections

  • Ability to work as team member with other clinical and office personnel

  • Ability to maintain and respect strict confidentiality

  • Ability to maintain friendly and courteous manner in all patient and staff encounters

  • Ability to read, understand and follow oral and written communication

  • Ability to communicate clearly orally and in writing

  • Ability to operate computers, fax machines, telephones and photocopy machines

  • Appropriate professional appearance and behavior at all time

 

Salary Level: Level 10/A through 10/F

Work Schedule 40 hours per week, with ability to flex schedule to coordinate with staff and clinic demands
