About the Organization Salem Community College is a public, two-year comprehensive associate degree granting institution located in southern New Jersey. Established by the Board of Chosen Freeholders in 1972, SCC is authorized to grant associate degrees (A.A., A.S., A.F.A. and A.A.S.) and certificates in over 40 liberal arts, business, practical nursing and technology programs of study. SCC is the only higher educational institution located in Salem County. SCC offers many of its noncredit career programs at its Salem Center which also houses the County's One-Stop Career Center. In addition, the College has three off-site instructional locations dedicated to specific programs.

Salem Community College is fully accredited by the Middle States Commission on Higher Education.

Responsible for managing academic records for all current and former students as well as for assisting the Academic Deans with managing academic programs.  Specific responsibilities typically include registration, maintenance of student records, graduation certification, classroom observations, syllabi maintenance, and assisting with Academic Program Reviews.


Major Duties and Responsibilities:


  • Assists in organizing, implementing, and assessing processes and operations of the college’s registration and student records programs. 
  • Implements and ensures compliance with all policies, procedures, guidelines and protocols related to the overall student record keeping function of the college, including but not limited to permanent student records, transcripts, transfer of courses, posting of final grades, student withdrawal from courses, and dropping/adding courses. 
  • Safeguards the security and confidentiality of student records.
  • Maintains knowledge of all articulation and transfer agreements.
  • Keeps current on systems and new technology related to the functions of the position.
  • Responsible for, but not limited to registration, recording of final grades, preparing official student transcripts, evaluating academic records, assisting with preparing students and student records for Commencement, reviewing courses for transfer.
  • Assists with the updating of information for the preparation of college catalogs.
  • Analyzes, monitors, reports, and shares student enrollment and demographic statistics. 
  • Certifies completion of academic degree, certificate and career certificate programs.
  • Conducts research into student records as required.
  • Assists with Academic Program Reviews as required.
  • Assists as needed with activities related to academic programs, including recruitment and orientation of new students, advisement of current students, and communication with current students.
  • Performs observations of adjunct faculty at the request on an Academic Dean.
  • Maintains copies of syllabi for all academic courses every semester/session.
  • Obtains textbooks for instructors.
  • Assists with outcomes assessment as needed.
  • Performs other duties as assigned.
Position Requirements

Knowledge and Skills:


Education                                Master’s degree required.


            Experience                              Minimum of four years working in higher education, preferably at the community college level.  Minimum of two years college teaching experience. Preference will be given to candidates with direct experience working in student records or registrar’s office.


Interpersonal Skills                 Courtesy, tact, and diplomacy are essential elements of the job.  Work involves much personal contact with others inside and/or outside the college for purposes of giving or obtaining information, building relationships, or soliciting cooperation.


Technical Skills                       Working knowledge of current and emerging computer hardware and software, including relevant ERP systems and all Microsoft Office products.


 Other Skills                            Ability to work with diverse academic, cultural, and ethnic backgrounds of community college students and staff.  Training and experience working with students and providing good customer service.  Competency in the utilization of computer technology used for communication, and the entering, storing, retrieving, and reporting of data related to student registration and records.  Knowledge of the components involved with being the custodian of students’ records.  Familiarity with NJ Transfer and other transfer initiatives.  Excellent written and verbal communication skills.  


Physical Requirements            The work is mostly sedentary; however, there may be some walking, standing, bending, carrying of light items, driving an automobile, etc. No special physical demands are required to perform the work.


Work Environment                 Regular exposure to favorable conditions such as those found in a normal office. High level of energy and enthusiasm.  Occasional evening and weekends required.
