SUMMARY

This position is responsible for maintaining Student accounts with minimal supervision and provides support for the Student Account Specialists Team. This position also coordinates other functions relative in keeping accurate student financial records for the University.  In summary, we are seeking a professional with the ability to multi-task and also very detail oriented. 

 ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Serves as customer service liaison between students and the University regarding Students’ financial accounts. Responds to emails and phone calls in a timely manner. All emails and phone messages will be returned within 24 business hours.
  • Implements the accounts receivable process by following established procedure for processing student course requests, suspensions, and dismissals.
  • Ensures that invoices created by eBill are accurate.
  • Conducts customer service research and response.
  • Establishes payment plans for Financial Aid students with the FFA-Monthly payment option.
  • Ensures that all students’ monthly payments are processed.
  • Processes adjustments to students’ accounts in Great Plains.
  • Ensures students submit Military Tuition Assistance & Employer Voucher documentation for proper billing.
  • Initiates the process of credit card / eCheck refunds through SecureNet and daily reconciliation.
  • Notifies Students of credit card declines, expired credit cards, or any other issues with payment information.
  • Audits students reflecting LOK tuition rates for all appropriate fees.
  • Responsible for warning students of non-payment for courses.
  • Ensures that balances are kept to a necessary minimum.
  • Works the account receivables for active students to enter into payment plan.
  • Processes manual third party payments on behalf of the students’ account.
  • Works with escalated student issues.
  • Serves as resource for Student Account Specialist Team.
  • Ensures that Student Account Specialist team is completing scheduled tasks effectively and efficiently.
  • Schedules and re-schedules student payments through RoadRunner.
  • Serves as back up for Student Account Manager and Student Account Specialists. 
  • Follows up with Financial Aid with students that have outstanding balances.
  • Works with the Marketing Team to ensure Scholarship Matrix is kept updated at all times.
  • Works as liaison with Academic Advisors to ensure that student are not placed into new course with a balance due on their account.
  • Notifies SAS Team regarding any shortfall of Financial Aid Funds for students.
  • Serves as back up for NG process. 

MISCELLANEOUS

  • Forward emails and voice messages from General Accounting inbox to the Student Account Specialists
  • Reconciliation of SecureNet
  • Credit card reconciliation through RoadRunner
  • Lock and unlock courses per Student Account Specialist
  • Back-up transcript invoices, payments, account review, and approval
  • Back-up graduation invoices, payments, account review, and approval
  • Great Plains – enter courses and scholarship codes
  • RoadRunner payment updates or adjustments
  • Creates files for new students.
  • Performs monthly Scholarship Audit.
  • Reviews adjustment requests from Student Account Specialist prior to submitting to Student Accounts Manager. 

OTHER

 Performs additional duties as assigned by Accounting Supervisor, Accounting Manager, Controller, and CFO which may include but are not limited to maintaining accounting spreadsheets.

 

 
Position Requirements

 

QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or abilities required.

Must have two years of customer service / telephone skills / record keeping.

EDUCATION AND EXPERIENCE

 High School Diploma or Equivalent required. An AAS Degree is preferred but not required. Four years of experience in customer service is preferred.

COMMUNICATION SKILLS

Excellent written and oral English language skills.  Exemplary customer skills required.  Must have dealt directly with customers via telephone and email.

MATHEMATICAL SKILLS

Ability to work with and apply mathematical and accounting principles.  Two or more years of accounting experience is a plus.  Must be able to comprehend student / accounting statements.

REASONING ABILITY

Ability to apply principles of logic or scientific thinking to a wide range of intellectual and practical problems. Ability to deal with nonverbal symbols, such as formulas, scientific equations, graphs, etc. Ability to problem-solve in an effective manner.
