What We Are Looking For:

NCU is currently seeking an Accounts Payable Specialist professional to join our Accounting Team.

The Accounts Payable Specialist has full responsibility for full cycle Accounts Payable (matching, batching, accruals and coding) and ensures timely and accurate processing of all payables.  This position is responsible for the keying and processing of a high volume of transactions each month and ensures appropriate distribution and payment.

This position is also responsible for taking complete care of such accounts and balances, organizing and providing payables runs for timely payment and release to external vendors, while also collaborating with team leaders and ensuring positive working relationships within the University.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Receives invoices and statements from all vendors
  • Codes invoices to general ledger accounts and cost centers by analyzing invoices, contracts and expense reports and matching to available purchase orders (POs)
  • Recommends scheduling of payment to vendors by monitoring discount opportunities and scheduling and preparing Electronic Funds Transfers (EFTs) and check runs
  • Resolves purchase order, contract, invoice and payment discrepancies by obtaining proper documentation and approvals
  • Schedules payment to employees by receiving and verifying expense reports and preparing EFTs
  • Maintains and reconciles accounting ledgers by verifying and posting account transactions and comparing system reports to balances
  • Responsible for accruing invoices not received and maintaining and cross-referencing to an up to date list of major vendors to determine proper accrual accounting for month end close
  • Verifies vendor accounts by reconciling monthly statements and related transactions
  • Responsible for 1099-Misc reporting and W-9 compliance for new vendors, together with maintaining the vendor master list
  • Completes designated reports and processes for month end close
  • Organize proper hardcopy and softcopy filing of invoices and reports
  • Process and pay part-time faculty fees and tasks as directed
  • Processing Financial Aid disbursements and reconciliations as directed
  • Performs other duties as assigned which may include:
  • General Ledger (G/L) account reconciliations related to payables and accruals
  • Maintaining spreadsheets such as prepaid expenses and accrued expenses
  • Preparing and/or checking Final Accountings for withdrawing students

Position Requirements

REQUIRED EDUCATION and EXPERIENCE

  • Minimum - Associates Degree required (Accounting concentration preferred)
  • 4-5 years of Accounts Payable experience required, including:
  • recently working in a professional accounting environment similar to a University
  • having a very strong understanding of the general ledger accounts of a company
  • 2-3 years of experience with Great Plains or other enterprise systems
