Description

 

GENERAL PURPOSE OF POSITION:  Provide administrative support to WCM/GM programs; Volunteer, Disaster, and Global Ministries Personnel

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

  • Become and remain conversant with breadth of WCM/GM programs, able to interpret primary program goals.

 

  • Serve as data base manager for programmatic data; designing, creating, maintaining and managing data bases appropriate to respective programs.

 

  • Gather program related data from various sources, including Internet, as requested

 

  • Serve as administrative liaison for Volunteer Ministries which includes administering the reception of VM applications and online registrations and facilitating volunteers’ compliance with AmeriCorps Education Grant Program to ensure successful completion of program.  Produce annual up-dated print publications such as UCC Mission Trip Opportunities and Partners in Service booklet, as well as create programmatic flyers, as needed.

 

  • Serve as administrative liaison for Disaster Ministries which includes processing credentials for Conference and Chaplain’s networks; facilitating DM materials shipments and creating programmatic print resources, as needed.

 

  • Serve as administrative liaison for visits to Cleveland by Global Ministries missionaries, missionary candidates and international guests related to East Asia Pacific; Middle East Europe and Southern Asia regions.

 

  • Facilitate logistical arrangements for WCM  program sponsored gatherings coordinating the preparation and setting up of meetings/events including promotion, invitations, registration, scheduling of groups, participation fees; serve as liaison to Meeting Services.

 

  • Prepare resources and correspondence which are neat, grammatically correct and free of spelling and typographical errors.  Communicate by phone and e-mail in response to constituent requests for information and resources.

 

  • Willing to take on new and creative ad hoc tasks, as needed, on the WCM/GM team.

 

  • Perform other duties as necessary and appropriate.

 

 

Position Requirements

MINIMUM QUALIFICATIONS:

 

To perform job satisfactorily, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge skill, and/or ability required.

 

  • High School Diploma or equivalent plus a minimum of three years of demonstrated administrative experience.

 

  • Ability to work independently and as part of a staff team working with multiple colleagues at once, negotiating and setting priorities to accomplish diverse assignments in a timely manner.

 

  • Desire and sensitivity to work in diverse racial, ethnic, cultural and religious settings with a commitment to diversity in the workplace as well as in one's understanding of mission.

 

  • Proficient in database administration, Word and Windows XP.  Experience with  Raiser’s Edge, Filemaker Pro, Powerpoint and Excel spreadsheet applications desired, and ease with adapting to new technology.

 

  • Strong understanding of the need for confidentiality and discretion in human relations skills.

 

  • Self-starter with the ability to perform with minimum supervision.

 

  • Excellent verbal and written English language skills.

 

  • Positive, cheerful attitude and eagerness to strive for excellence.

 

  • Knowledge of or willingness to learn about the United Church of Christ.
