Description

General Summary:

 

Under the supervision of the Juvenile Division Director/Referee, oversees and participates in the receipt and processing of petitions and all legal documents related to Juvenile Court cases. Maintains court records, schedules juvenile cases for hearings, prepares orders, and performs the duties of a court recorder for Juvenile Court hearings. Assists the Director in assuring that procedural systems are clearly specified and followed.

 

Essential Functions

 

  1. Receives, records, and processes petitions and other legal documents related to abuse and neglect and delinquency cases. Ensures that legal documents are in order, attorneys are appointed and notified in accordance with the Michigan Court Rules, case reports are properly received and distributed, and hearings are scheduled and placed on the appropriate calendars.

 

  1. Assists with case preparation for hearings and reviews cases scheduled for hearings to ensure the case files are complete and information is distributed to all interested parties and attorneys.

 

  1. Schedules and coordinates with attorneys and client dates for hearings in abuse and neglect and delinquency cases.

 

  1. Prepares and submits required Juvenile Court reports to the State Court Administrators Office (SCAO).

 

  1. Records courts proceedings and takes notes of proceedings as required by the judge while functioning as a court recorder.

 

  1. Ensures that juvenile delinquency abstracts and criminal history are properly and correctly submitted to Secretary of State and LEIN.

 

  1. Ensures that juvenile fingerprint and DNA orders are done timely and collections have occurred within timeframes.

 

  1. Responsible for juvenile competency proceedings, handling all related paperwork and filings, and ensuring that timeframes are complied with.

 

  1. Oversees OnBase and JIS records and seeks technical assistance for those databases as well as for the court JAVS systems when needed. Ensures data entry into record of actions (JIS) and case management (OnBase) systems are done correctly and timely.

 

  1. Assists the Director in doing caseload reports review and completing reporting as required by the state.

 

  1. Distributes copies of case files on appeal.

 

  1. Provides administrative support to the Bookkeeper and Deputy Juvenile Registers when needed and performs all associated duties.

 

  1. Performs other duties as required.

Position Requirements

Employment Qualifications:

 

Education:

A high school diploma with supplemental vocational coursework in office management or a related field.

 

Experience:

Five years of progressively more responsible administrative experience in a court setting.
