SUPERVISION:

Non-Supervisory.

GENERAL PURPOSE OF JOB:

This position serves as the front-line customer service representative for the Child, Family, & Adult Division and agency services. Performs a variety of routine and complex clerical, administrative, and senior meal service support duties.

ESSENTIAL JOB FUNCTIONS:

Administrative Support

  • Assists the front desk and lobby, provides general customer service, greets customers, answers and routes phone calls, provides program information, and answers questions.
  • Acts as Custodian of Records and coordinates records requests and provides redaction to ensure confidentiality.
  • Receives forensic interview files through Vidanex and files them in the Laserfiche case.
  • Processes incoming, outgoing, and relay mail.
  • Prints, copies, assembles, distributes, files documents, scans documents into Laserfiche.
  • Uses computer and software applications to accurately type and edit basic correspondence; enter data; retrieve data; search databases; conduct research; create documents; and send emails.
  • Distribute office supplies, packages, and mail.
  • Create “walk-in” reports of abuse/neglect from the public and caseworkers.
  • Completes referrals by collecting client information through access of statewide computer systems, local law enforcement, and outside county and state departments as needed.
  • Inputs and retrieves information from Trails, CAPS, CBMS, and other computer systems as required and maintains up-to-date information regarding various aspects of case record requirements.
  • Order Birth Certificates for children in DHS custody.
  • Research and obtain Household Numbers and MOE.
  • Send out monthly service verification lists to CCM providers and document information in CCM.
  • May assist with the onboarding of new employees.
  • Notarize documents such as acknowledgments, depositions, and signatures.
  • Monitors Older Adult Programs reservation line, prepares and processes meal site forms, and completes data entry.
  • Assist with the setup and breakdown of senior meal sites and serving of meals as needed.
  • Receives, responds to, documents, and prepares survey information for Program Managers and Executive Management Team.
  • Assists with special projects for all program areas. (i.e., gathering data and files for State audits, scanning in documents into Laserfiche.)
  • Acts as a backup for Case Manager’s I & II: cover hotline, disposition of referrals, send referrals to law enforcement or other entities, generates mandated reporter letters.
  • Scribe for division meetings as needed.
  • Submits maintenance work orders for Rifle Annex and 1102 Grand offices.
  • Adheres to policies, procedures, and record retention protocols established by the State and County.
  • Review all work products to ensure the highest level of quality and maintain a high level of confidentiality.
  • Performs other duties of a similar or related level as necessary or assigned.

Position Requirements

MINIMUM QUALIFICATIONS:

(Any combination of experience and education that would likely provide the required knowledge, skills and abilities as determined by Garfield County may be substituted for the following requirements.)

  • Education: High school diploma or equivalent.
  • Experience: Two years of experience working in an office environment providing administrative support. One year of administrative and customer service experience with proficient computer skills in Microsoft Office programs.
  • Preferred: Ability to speak, read, and write in English and Spanish preferred.
  • Licenses & Certifications: Valid driver’s license. Obtain Colorado Notary Public certification within 6 months of hire.

PHYSICAL ACTIVITIES AND WORK ENVIRONMENT:

REQUIRED PHYSICAL ACTIVITIES:

  • Sitting: The primary task involves sitting at a desk, computer, or workstation for extended periods, performing administrative tasks and using computer equipment.
  • Lifting and Carrying: Occasional lifting and carrying of lightweight office supplies, documents, or small packages may be required, typically not exceeding 15 pounds. Able to repeatedly lift and carry trays of food, boxes of supplies, and kitchen equipment weighing up to 45 pounds without assistance using proper lifting techniques when assisting meal sites.
  • Bending and Reaching: May involve occasional bending or reaching to access office equipment, files, or supplies within standard office settings. Able to reach for food service-related items both in high and low areas when assisting meal sites.
  • Grasping and Typing: Ability to use a keyboard, mouse, and office equipment, demonstrating fine motor skills for typing, clicking, and manipulating documents. Handling of kitchen utensils when assisting meal sites.
  • Visual Acuity: Clear vision for reading printed and on-screen materials, including text, graphics, and data, and for viewing computer monitors for extended periods.
  • Hearing: Adequate hearing to engage in conversations, respond to telephone calls, and interact with colleagues in a typical office environment.
  • Walking/Mobility: Occasional short walks, or mobility, within the office premises may be necessary to attend meetings, access common areas, or collaborate with colleagues.
  • Stamina: Maintain the ability to maintain focus, productivity, and attention to detail while working at a desk for standard office hours.
  • Bending and Stooping: Capable of repeatedly bending, stooping, and kneeling to access low shelves, clean countertops, and retrieve items from storage when assisting meal sites.
  • Pushing and Pulling: Be able to maneuver food carts, dish racks, and cleaning equipment throughout the kitchen and dining areas when assisting meal sites.

WORK ENVIRONMENT:

Work is primarily performed in a standard office environment. Extended periods of sitting are required.

WORK HOURS:

  • Regular Full-Time position, 40 hours per week.
  • Hours are typically 8:00am to 5:00pm Monday through Friday.
  • There may be times when an employee may need to work outside the established work week, such as after hours or on the weekend.

REQUIRED TRAVEL:

Travel within Garfield County is required. Occasionally, the position requires travel for site visits, trainings, or other meetings.

TECHNOLOGY AND EQUIPMENT:

Computer and relevant software applications, spreadsheets, calendars, and word processing. Will also work with calculators, telephone systems, and mobile phones. Statewide client information system (TRAILS).
