Stateside Associates, the largest state and local government relations firm, is seeking a Business Development Associate to join the Business Development & Marketing team. This role, based in Rosslyn, Virginia, will report to the Vice President of Business Development and Marketing. This administrative position is an opportunity for a detail-oriented, goal driven team player to work in a creative, fast-paced, entrepreneurial work environment. We are seeking a positive multitasker with strong administrative, project and time management skills who works collaboratively with independent accountability.

 
Position Requirements

Essential Duties of Role:

  • Support Vice President, Business Development, BD team and Client Success team with calendar coordination and scheduling of internal and external meetings with prospects and clients, including discovery and pitching calls with prospects, and onboarding calls with new clients
  • Support creation of proposals, statements of work and other materials used to promote services to prospective clients. Coordinate document development with Client Success Associate and VP Business Development to ensure comprehensive scope of work representation, accurate pricing, final review and proofing and timely release
  • Facilitate renewals by tracking and/or preparing new contracts, ensuring accuracy with edits from prior years, and meeting release deadlines. Track outstanding contracts to ensure timely return of fully executed documents to preserve continuity of services for clients
  • Support achievement of business development KPIs - working through others to facilitate timely and accurate preparation of proposals, contracts and other materials
  • Act as CRM superuser to manage data integrity, facilitate functionality enhancements, solve new reporting needs, troubleshoot issues, etc.
  • Monitor CRM dashboards and reports for adherence to pipeline and closing timeline standards
  • Maintain accurate records in CRM, performing periodic data audits and updating as needed to ensure data integrity
  • Extract, analyze and compile accurate sales data for review with Vice President
  • Prepare presentation decks for periodic meetings with teams and leadership
  • Track pipelines, including individual and team sales achievement to goal, and prepare data for reporting up to leadership
  • Track department budget in designated system and monitor compliance to standard
  • Compile and release internal communications to inform teams of critical updates and achievements
  • Serve as a conduit of information between other Stateside departments
  • Adopt position of continuous improvement within department seeking opportunities to enhance productivity and ease of work
  • Report progress to Vice President, Business Development, to confirm KPIs are met, request support when needed and discuss ongoing concerns

Your Experience and Skills

  • A four-year degree or the equivalent is preferred
  • Refined organizational skills with ability to complete tasks accurately and timely
  • Excellent communication skills with professional demeanor and accurate grammar
  • Must be a multitasker with the ability to handle many diverse projects simultaneously
  • Ability to take ownership of assigned tasks with a high level of initiative
  • Working knowledge of CRM tools with HubSpot experience a plus
  • Highly proficient in Microsoft Office Suite, and Google Workspace, along with related applications
