Position Coordinator, Scenic Production  
Description

AREA15 is seeking a scenic production coordinator to support the Creative Production department in organizing and executing scenic, theatrical, and immersive experience projects across the campus. This role serves as the operational backbone of the team, handling budget tracking, scheduling, purchasing, vendor coordination and logistics all to ensure each project is delivered on time is within scope and has AREA15's signature creative flair.

The ideal candidate thrives in a fast-paced, dynamic environment, balancing administrative precision with a deep understanding of creative workflows. This person will act as a bridge between the Experience Director, Fabricators, Designers, and external partners to keep all moving parts aligned.

RESPONSIBILITIES AND DUTIES:

  • Coordinate and track all phases of scenic, theatrical, and experiential production projects, from concept through completion.
  • Manage project timelines, deliverables, and schedules for fabrication, installation, and live event execution.
  • Support the Experience Director in budget management, including expense tracking, vendor quotes, and invoice reconciliation.
  • Handle purchasing and procurement for materials, tools, and supplies; maintain organized documentation of orders and receipts.
  • Assist in talent coordination, including scheduling of performers, makers, and production crew for rehearsals, builds, and events.
  • Communicate regularly with internal teams and external vendors to ensure smooth logistics and on-time delivery of materials and equipment.
  • Oversee load-in/load-out schedules and transportation of scenic assets or props when necessary.
  • Maintain project documentation, including production calendars, contact sheets, and creative briefs.
  • Facilitate clear communication between creative, production, operations, and leadership teams.
  • Support special events and installations with on-site coordination and troubleshooting as needed.
  • Demonstrate ART! (AREA15's service standards) in every guest interaction.
  • Adhere to department and company policies and procedures.
  • Maintain a professional, polished appearance in line with AREA15 standards.
  • Work various shifts, including nights, weekends, and holidays.
  • Perform other work-related duties as assigned.

Position Requirements

QUALIFICATIONS & SKILLS

  • Applicants must be 21 years of age or older
  • Proof of eligibility to work in the United States
  • Comfortable working in a creative, entrepreneurial start-up environment, introducing new concepts and innovations.
  • 3+ years of experience in production coordination, theatrical management, live events, or creative project management.
  • Strong understanding of scenic/theatrical production processes, including fabrication, design, and performance scheduling.
  • Proven ability to manage budgets, track expenses, and coordinate logistics.
  • Excellent organizational and multitasking skills with attention to detail.
  • Clear and professional written and verbal communication.
  • Experience using project management tools (e.g., Asana, Monday.com, Smartsheet, or similar).
  • Proficiency with Microsoft Office and Google Workspace; experience with purchase order systems is a plus.
  • Ability to work under tight deadlines in a highly creative, collaborative environment.
  • Must be flexible with schedule, occasional nights, weekends, or event hours required.
  • Ability to work in all weather conditions including but not limited to extreme heat, sun exposure, wind, rain, extreme cold.
  • Ability to understand, speak, read, and write the English language.
  • Computer skills in Microsoft applications. (Excel, Outlook, Word, etc.)
  • Availability for varied shifts, including evenings, weekends, and holidays.
  • Ability to work in an environment subject to varying levels of noise, crowds, flashing lights, and smoke.
