Job Summary:

The Coordinator, ENS Projects & Programs plays a key role in supporting the operational efficiency and ongoing development of the Extensive Needs Service (ENS). Working under the direction of the Clinical Operations Manager, this position coordinates multiple projects and program initiatives to enhance client flow, improve waitlist management, and ensure the accuracy of service data. The incumbent collaborates with internal teams, IM&T, and Decision Support to maintain accurate client information and provide timely reporting to support service delivery and quality improvement across the ENS portfolio.

Key Responsibilities:

Program and Project Coordination

  • Oversee timelines, data tracking, and reporting for multiple ENS initiatives (e.g., quarterly reports, quality improvement projects, appointment process improvement).
  • Ensure program objectives are achieved and maintain coordination among clinical and support services.

Process and System Development

  • Develop and implement Meditech scheduling pathways and support registration and waitlist management.
  • Liaise with IS and administrative teams to identify and implement system improvements that support client flow.
  • Prepare and coordinate clinic schedules ensuring clinician availability to ensure client flow

Data Management and Evaluation

  • Collect, analyze, and interpret clinical and operational data to support continuous quality improvement and program evaluation.
  • Maintain accurate records and contribute to program dashboards and performance reports.

Clinic and Family Support

  • First point of contact for clients and other disciplines, making connections for clients/families and clinicians across multiple teams as needed
  • Coordinate client appointments, conduct family screening, obtain consent, and manage ENS inquiries.
  • Support families through the intake process to ensure smooth access to services.

Stakeholder Engagement

  • Liaise with internal teams and community partners to ensure seamless delivery of services and alignment across the ENS partnership network.
  • Represent ENS in collaborative discussions and contribute to shared process improvements.

Key Requirements:

Knowledge:

  • Completion of a general university degree in a related field such as Health Administration, Social Sciences, Business Administration, or a related discipline, or an equivalent combination of education and experience.
  • Foundational understanding of program coordination, project management, and data reporting within a healthcare or community service environment.
  • Working knowledge of client scheduling systems (Meditech) and healthcare data systems.
  • Familiarity with quality improvement principles, process mapping, and data-driven evaluation.
  • Technical proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Adobe Acrobat, and related digital tools.

Skills:

  • Strong organizational, analytical, and time management skills with the ability to prioritize multiple initiatives.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint), Adobe, and data visualization tools.
  • Excellent communication skills, both written and verbal, for engaging internal and external stakeholders.

Abilities:

  • Ability to analyze data and identify trends to support program improvement.
  • Demonstrated initiative in identifying issues and proposing solutions.
  • Capacity to work independently while maintaining collaboration with a multidisciplinary team.
