About the position: The Inventory Coordinator assists in the recordkeeping of food and related items that are received and delivered by Second Harvest. This position plays a critical role in data management which includes managing accurate inventory levels throughout the process of creating sales orders, inventory reconciliation, adjustments, reclass of items, physical inventory counts, and review of data and information.

SUPERVISES: N/A
JOB SUMMARY:
Data Management/ERP Transactions (60% of the time)
- Create sales orders for direct distribution sites and agencies using CERES (Microsoft Dynamics NAV)
- Item card creation and review.
- Manage reclass process for USDA bags, produce bags, and shelf stable boxes using CERES and Excel.
- Post donations from local and national donors; process daily.
- Manage documentation and disposal of food returns and waste; process weekly.
- Process item adjustments in CERES as needed.
- Document processes in CERES and write up SOPs for Supply Chain data management transactions.
- Activate/deactivate items available for web orders and set quantity limits for Agency Express.
- Arrange transfers of food and nonfood items between warehouses.
- Research and obtain further information for incomplete documents.
- Review data for deficiencies or errors and report information to Supply Chain team members.
Inventory (20% of the time)
- Assist in the inventory and distribution of government commodities, fresh, frozen, and shelf-stable foods.
- Participate in accurate inventory control measures including periodic physical inventory and cycle counts, and the investigation of discrepancies.
- Assist with product rotation using FIFO methods, within appropriate timelines.
- Assist in mid-year and year-end inventory processes including data entry.
- Make recommendations to Supervisor for improved efficiency and inventory accuracy.
Reporting and Compliance (15% of the time)
- Submit Blue Receipt report weekly to Feeding America.
- Upload Bill of Lading (BOL) paperwork to California Association of Food Banks through U-Route or email.
- Email BOL to CalFoods Logistics upon receipt of delivery and save BOL on Teams.
- Generate CERES reports to complete monthly The Emergency Food Assistance Program (TEFAP) report.
Warehouse Operations (5% of the time)
- Safely drive a forklift and/or scissor lift in the warehouse.
- Maintain safe warehouse practices.
- Maintain safe food handling practices.
- Report safety hazards to Warehouse Operations, Supply Chain, or Facilities Directors.
Other duties as assigned.
QUALIFICATIONS:
Education and Experience:
3+ years’ experience in database management, data analysis, or data entry positions. Inventory experience strongly preferred. Experience working with produce or in a warehouse a plus.
Knowledge/Skills/Ability:
- Proficient in Enterprise Resource Planning systems (ERPs). Experience with CERES a plus.
- Strong working knowledge of Microsoft Excel.
- Proficiency in Microsoft Office Suite including MS Outlook, Word, and Teams.
- Excellent data entry and record keeping skills.
- Strong organizational skills, with the ability to stay focused in a busy environment.
- Knowledge of produce and ability to determine quality and estimate edibility.
- Knowledge of safe food handling requirements for transport and storage.
- Forklift certification preferred. At a minimum, must enroll in a forklift training program or learn how to use scissor lift immediately upon hire.
- Able to communicate effectively and respectfully with people of different racial, ethnic, and cultural groups and from diverse backgrounds and lifestyles.
- Bilingual in English/Spanish is desirable.

- Given the front-line nature of our work, there will be instances where staff are required to work a flexible schedule to respond to community needs. Advanced notice will be provided.
- In instances of a federal, state or locally declared emergency, Second Harvest is considered an essential service and emergency responder; all its employees may be called in to perform regular or emergent duties.
STANDARD WORK SCHEDULE: Monday – Friday 8:00AM-4:30PM. Occasional weekend work will be required to meet community need.
