Position Event Services Coordinator  
Description

The Event Services Coordinator plays a key role in supporting the planning, coordination, and execution of private and corporate events at AREA15. Serving as a liaison between the client and event operations, the Event Services Coordinator ensures effective communication between departments and contributes to the execution of events. This role requires a detail-oriented professional with a strong background in hospitality, exceptional organizational skills, and the ability to perform under pressure in a fast-paced, high-volume environment.

RESPONSIBILITIES AND DUTIES:

  • Support the Event Services and F&B teams with the event full-cycle from setup, execution, to breakdown of events according to Banquet Event Orders (BEOs).
  • Serve as a day-of contact and on-site lead for designated events, ensuring smooth coordination between departments (Sales, F&B, Ops, AV, and Security) while providing excellent service to the client.
  • Participate in pre-event walk-throughs and assist with site visits as needed.
  • Communicate event logistics and updates clearly and professionally to both internal teams and clients. Escalate any issues to the right point of contact of the event in a timely manner.
  • Assist in reviewing BEOs, floor plans, making updates when necessary and distributing final documentation to designated parties.
  • Respond promptly and professionally to client questions, feedback, or concerns.
  • Monitor event spaces during events to ensure adherence to AREA15's brand standards, guest satisfaction, and safety protocols.
  • Assist with line management and credential verification when required.
  • Troubleshoot and resolve any on-site issues promptly, maintaining a calm and professional demeanor while under pressure.
  • Manage event-related equipment and inventory, ensuring all items are accounted for post-event.
  • Report any concerns about event staff to the right chain of command to ensure adherence to AREA15 service standards.
  • Maintain familiarity with venue policies, emergency procedures, and event-specific guidelines.
  • Demonstrate ART! (AREA15's service standards) in every guest and client interaction.
  • Adhere to department and company policies and procedures.
  • Respond to time-sensitive matters in a timely manner.
  • Maintain a professional, polished appearance in line with AREA15 standards.
  • Work various shifts, including nights, weekends, and holidays.
  • Perform other work-related duties as assigned.

Position Requirements

QUALIFICATIONS & SKILLS

  • Applicants must be 21 years of age or older
  • Proof of eligibility to work in the United States
  • Minimum 2 years of experience in boots on the ground event coordination, banquet operations, or hospitality services.
  • Proven ability to multitask, prioritize responsibilities, and maintain poise under pressure.
  • Strong communication and interpersonal skills, with a service-first mindset.
  • Able to communicate via all forms of communication such as radio, phone, instant messages and headset.
  • Ability to remain calm and professional in a fast-paced or high-pressure environment.
  • Familiarity with BEOs, venue layout, event setups, and front-of-house service procedures.
  • Working knowledge of event floor plans and room diagrams; experience with Triple Seat or similar event software preferred.
  • Valid Food Handler Card issued by SNHD.
  • Ability to individually lift and carry up to 75 lbs.
  • Comfortable working in a creative, entrepreneurial start-up environment, introducing new concepts and innovations.
  • Ability to work in all weather conditions including but not limited to extreme heat, sun exposure, wind, rain, extreme cold.
  • Ability to understand, speak, read, and write the English language.
  • Computer skills in Microsoft applications. (Excel, Outlook, Word, etc.)
  • Availability for varied shifts, including evenings, weekends, and holidays.
  • Comfortable standing for extended periods and walking throughout the venue.
  • Ability to work in an environment subject to varying levels of noise, crowds, flashing lights, and smoke.
