Office Support Specialist III 

Description

Assure highest level of professionalism and customer service in providing clerical, administrative and business support to internal and external customers of the District, as assigned by the Supervisor.

• Produce various types of correspondence, both paper and electronic, including letters, policies, presentations, and other documents, including the drafting of content when requested, assuring excellent grammar, proofreading and expert use of word processing software to produce professional level formatting and appearance.

• Provide professional communications services with a skilled customer service orientation including: telephone answering and message services, dealing with vendors; greeting visitors; providing information in response to internal and external customer inquiries; taking complete, accurate messages and providing timely relay of the information; re-directing callers to appropriate respondents, and providing follow-up to requests when appropriate.

• Perform assigned clerical duties to assure efficient and effective operation of the campus/department which may include such activities as: coordinating and setting up meetings; assisting with preparations for events sponsored by campus staff; preparing documents for mailing; scheduling and updating calendars; maintaining, filing and retrieving records in accordance with systems standards; distributing information to various individuals.

• Perform high level administrative tasks, as assigned, which could include such tasks as: designing and maintaining spreadsheets and databases; developing database queries to obtain information for ad hoc reports; maintaining and updating records, assuring accuracy, completeness and confidentiality of the information; maintaining and monitoring budget information; coordinating with Tulsa Tech's business office regarding such issues as campus/department expenditures, budget variances and Purchase Orders; processing of substitute applications and required hiring forms for HR; coordinating facility changes and repairs, coordinating special events.

• Prepare routine and special request reports, which may include researching and gathering data, performing calculations and arranging the data into report format.

• Assist in the preparation of special materials, which market campus/department events by providing writing, proofing and production of presentations, visual aids, fact sheets and signs.

• Provide back up support for the Assistant to the Superintendent when requested to include Board of Education agendas, minutes and other board tasks.  Fill-in support as required in the absence of other support staff or in an overload situation.

• Perform tasks and duties relevant to any of various roles or responsibilities assigned by supervision and determined by management to be appropriate for this position; comply with all policy, procedure, regulation and other communicated requirements as may be in effect for the workgroup or worksite.

 
Position Requirements

This position requires a minimum of eight (8) year's business experience in a variety of administrative and support functions within a service organization.  Also requires advanced proficiency in computer operations, applications and formatting.

  • Demonstrated proficiency, through third-party assessment, in Microsoft Outlook, Word, Excel and PowerPoint required.
  • Database (design, maintenance and query)
  • Able to conduct detailed research utilizing Internet search engines
  • Ability to maintain highest level of confidentiality

Education High School diploma or equivalent required; Associate' s degree, CPS or administrative assistant certification preferred.  
Salary Schedule Specialists  
Hiring Range Minimum $26,090/ annually, depending on experience and education, plus $5,460 additional compensation yearly for salary-in-lieu of paid dependent benefit coverage.
