Description

GENERAL PURPOSE OF POSITION: To provide administrative support to the Executive Director and Associate Director and to provide general oversight of support services of the CB&LF office, including:

ESSENTIAL DUTIES AND RESPONSIBILITIES:        

  • Provide general oversight of non-exempt CB&LF employees in the absence of management, coordinate workflow necessary to maintain the smooth functioning of the office.
  • Maintain confidentiality as appropriate, and project professional image.
  • Anticipate needs, initiates action and provides information for the Executive Director and Associate Director on a regular basis.
  • Relieve the Executive Director and Associate Director of routine details, and exercises initiative and independent judgment and decision making in their absence.
  • Provide exceptional customer service and clerical support by responding promptly to telephone calls and drafting of correspondence on behalf of CB&LF.
  • Possess excellent communication skills, as well as strong time management and organizational skills.
  • Prepare draft correspondence as needed for the Executive Director and Associate Director.
  • Maintain calendar of meetings, activities, and commitments of the Church Building & Loan Fund.
  • Maintain communication with the Executive Director, Associate Director, and Capital Fundraising Executives, as needed.
  • Participate in planning and administration of CB&LF Board meetings, including acting as recording secretary of the Board.
  • Oversight of preparation and distribution of advance materials for meetings; taking of minutes of the Board and Loan Review Committee meetings, writing, preparing and distributing minutes and actions of the Board and Loan Review Committee
  • Works directly with UCC Meeting Services in planning, and, upon occasion, with hotels/conferences in preparation of Board meetings and Partner in Building Events.
  • Arranges conference calls for CB&LF Staff, Board, and Committee meetings including preparation of agendas and minutes.
  • Prepare check requests and AMEX reports for the Church Building & Loan Fund.
  • Providing assistance in mortgage application process including analysis of applicants’ loan documentation and financial reports.
  • Converse with customers on types of loan products and options that are available, as well as the term of those services.
  • Manage the updating and postings to the CB&LF website, FaceBook page, and other social media.
  • Provide administrative support for Partners in Building Training Events, CB&LF Board of Directors, Loan Review Committee meetings, General Synod and other events supported by the Church Building & Loan Fund.
  • Maintain the promotional and marketing materials, such as brochures and newsletters.
  • Oversee general mailings to prospective borrowers and mailing of quarterly mortgage loan statements and reports to UCC Conferences.
  • Assist with organization and maintenance of filing room and archive systems of CB&LF.
  • Other duties as assigned.

 

 

Position Requirements

 

MINIMUM QUALIFICATIONS:

  • High School Diploma with at least five years of relevant experience at an executive level. Demonstrated excellent communication and organizational skills.
  • Excellent administrative skills, with at least five years of successful work experience, including experience in minute-taking and preparation.
  • Experience in office administration with willingness to take appropriate initiative for the effective operation of the office.
  • Excellent grammar, proofreading, and editing skills.
  • Ability to prioritize work and perform with little or no supervision, within a collaborative team-oriented office.
  • Clear understanding of the need for confidentially and discretion.
  • Knowledge of mortgage banking is preferred.
  • Proficiency with various computer software applications, including word processing, spreadsheet, and graphics. Experience with Social Media including FaceBook and Twitter.
  • Skill in managing an office and in ability to work in diverse racial, ethnic, cultural and religious settings with a commitment to pluralism in the workplace.
  • Knowledge and appreciation of The United Church of Christ policies, structure, and mission, preferred.
  • Commitment and sensitivity to the variety of local church traditions, cultural and ethnic backgrounds represented in The United Church of Christ.
  • Willingness to travel occasionally within the United States in support of Partners in Building training events.
