Job Summary:
The Secretarial Department Supervisor oversees the secretarial team within the healthcare facility. This role involves supervising the secretarial staff, ensuring efficient office and patient record management, coordinating communication between departments, and maintaining compliance with healthcare regulations and organizational policies. The supervisor plays a key role in supporting administrative functions.

Key Responsibilities:

  • Supervise and lead the secretarial team, including hiring, training, mentoring, and evaluating performance.
  • Oversee scheduling, workflow, and task assignments to ensure timely and accurate completion of secretarial duties.
  • Oversee secretarial department providers for scheduling, orders management, outpatient scheduling, and correspondence.
  • Ensure compliance with healthcare regulations, HIPAA, and confidentiality standards.
  • Coordinate communication between clinical staff, patients, and other departments.
  • Handle escalated issues or complex administrative concerns, providing guidance and resolution.
  • Maintain and update policies, procedures, and protocols for the secretarial department.
  • Prepare reports related to departmental productivity, staffing, and metrics.
  • Foster a positive team environment focused on professionalism, accuracy, and customer service.
  • Manage staffing schedules to ensure adequate coverage and workflow balance.
  • Perform duties of a secretary at least fifty percent of the time

Position Requirements

Essential Job Functions:

  • Answer large volume of calls.
  • Handle messages.
  • Schedule appointments.
  • Review and maintain providers' orders.
  • Review and maintain providers' schedules.

Qualifications:

  • High School Diploma.
  • 3 years of supervisory experience are required.
  • Proven experience in healthcare administration, secretarial work, or office management within a healthcare setting.
  • Strong leadership and team management skills.
  • Excellent organizational, communication, and interpersonal skills.
  • Knowledge of healthcare regulations, HIPAA, and medical documentation standards.
  • Proficiency in medical office software, EHR systems, and MS Office Suite.
  • Ability to analyze workflows and implement process improvements.

 

Working Conditions:

  • Based in an office or administrative area within a healthcare facility.
  • May require flexibility to cover extended hours or peak periods.
