DISTINGUISHING CHARACTERISTICS:

  • Office Support II: This is the fully competent level classification in this series. Incumbents independently perform the full range of office support duties.

 

GENERAL PURPOSE OF JOB:

Perform a variety of routine and complex clerical, administrative and secretarial work in support of the Public Health Department. Serve as receptionist at either Public Health Office location. Interact with the public to provide information, assistance with paperwork, , resolve issues with customers and provides interpretation for Spanish speaking clients for all public health programs.

Office Support II:

  • Under minimal supervision, performs a variety of routine clerical, reception, administrative, and secretarial duties.
  • Greets visitors and assists the public at the front counter of either office location. Answers routine questions, locates documents, fills out forms, makes copies, and registers clients for appointments.
  • Assists customers and/or employees with difficult and/or complex transactions and regulatory compliance issues.
  • Uses computer and software applications (Outlook, Excel, Office 365) to collect and enter data, compose and edit correspondence, search databases, conduct research, create documents, and send emails. Utilizes the department’s electronic health record system.
  • Answers and routes telephone calls appropriately, greets callers, assesses situations, takes accurate messages, and completes transactions.
  • Processes incoming and outgoing mail.
  • Prints, copies, assembles, distributes, and files documents. Maintains required paper and electronic files.
  • Accepts payment for services (daily operations for all PH programs) and uses the County finance system (NWS) to track payments received. May take daily deposits to the bank when assigned.
  • Interacts with other offices, departments, and outside organizations to obtain and provide information.
  • Assists with translation and interpretation for Public Health Programs, as requested.
  • Assists with offsite clinics.
  • Assists with processing insurance claims, as requested.
  • Attends staff and program team meetings.
  • Performs emergency response roles, as requested.
  • Assists with coordinating and working at departmental public events.
  • Assists in ordering office supplies and maintaining office equipment.
  • Registers employees for training and arranges travel.
  • Backs up other office support staff members at either office location, as needed.
  • Assists in training new and/or temporary staff in office policies, procedures, and processes.
  • Offers billing and other administrative support to the Office Administrator.
  • Supports all divisions within the department, specifically the Environmental Health division, with programmatic needs such as processing payments, onsite restaurant inspection interpretation & translation, and program tracking.
  • Performs other duties of a similar or related level as necessary or assigned.

Position Requirements

MINIMUM QUALIFICATIONS:

(Any combination of experience and education that would likely provide the required knowledge, skills, and abilities as determined by Garfield County may be substituted for the following requirements.)

  • Education: High school diploma or equivalent.
  • Experience:
  • One year of administrative or reception experience and proficiency in relevant computer software applications. Must have the ability to interpret and translate including speaking, reading, and writing English and Spanish.
  • Licenses & Certifications: Valid driver’s license.

REQUIRED PHYSICAL ACTIVITIES:

  • Sitting: The primary task involves sitting at a desk, computer, or workstation for extended periods, performing administrative tasks and using computer equipment.
  • Lifting and Carrying: Occasional lifting and carrying of lightweight office supplies, documents, or small packages may be required, typically not exceeding 10 pounds.
  • Bending and Reaching: May involve occasional bending or reaching to access office equipment, files, or supplies within standard office settings.
  • Grasping and Typing: Proficiency in using a keyboard, mouse, and office equipment, demonstrating fine motor skills for typing, clicking, and manipulating documents.
  • Visual Acuity: Clear vision for reading printed and on-screen materials, including text, graphics, and data, and for viewing computer monitors for extended periods.
  • Hearing: Adequate hearing to engage in conversations, respond to telephone calls, and interact with colleagues in a typical office environment.
  • Walking/Mobility: Occasional short walks, or mobility, within the office premises may be necessary to attend meetings, access common areas, or collaborate with colleagues.
  • Stamina: Maintain the ability to maintain focus, productivity, and attention to detail while working at a desk for standard office hours.

WORK ENVIRONMENT:

Work is primarily performed in a standard medical office environment. Extended periods of sitting are required.

WORK HOURS:

  • Regular Full-Time position, 40 hours per week.
  • Hours are 8:00am to 5:00pm Monday through Friday.
  • There may be times when an employee may need to work outside the established work week, such as after hours or on the weekend.

REQUIRED TRAVEL:

The employee will frequently be required to travel within the County.

TECHNOLOGY AND EQUIPMENT:

Computer and relevant software applications, spreadsheets, calendars, and word processing. Will also work with calculators, telephone systems, and mobile phones.

NOTE: This position requires a pre-employment background check which will include a Criminal Background Check, Employment Verification, and Motor Vehicle Record. Employment is contingent upon successful completion of these items.
