Are you an organized, proactive, and detail-oriented professional looking to make a meaningful impact? Join our Healthy Growth and Development team as an Administrative Assistant, where you'll play a key role in ensuring the seamless operation of multiple programs, including EarlyON, Youth Programs, Perinatal Program, and Family Support. The role includes managing client and program databases, organizing program schedules, supporting regulatory compliance, process reimbursements, manage petty cash and tracking laptop and phone inventory, support the deployment of program promotion and evaluations, and ensure content quality and timely deployment of a weekly electronic newsletter. The Administrative Assistant also coordinates internal and external communications, manages office supplies, and ensures the smooth functioning of the program's administrative systems.

Keys responsibilities

  • Provide essential administrative support for the Healthy Growth and Development (HGD) team, including EarlyON, Youth, Perinatal, and Family Support programs.
  • Provide enhanced support to specific programs use of social media (FB, Insta, X), Cloud-based platforms (Eventbrite, MailChimp, Canva, Google Suite, Office 365) and virtual tools from program promotion, delivery, and evaluation (Zoom, Teams, Google forms)
  • Manage client files, ensuring proper documentation and organization in Electronic Medical records (EMR) systems.
  • Provide basic support to team members on IT and EMR system usage.
  • Organize and maintain program schedules, resources, and equipment, including office supplies, technology, and team inventory (e.g. laptops and phones).
  • Manage petty cash, ensuring all financial documentation is processed accurately and in a timely manner.
  • Coordinate the deployment of program promotions, evaluations, and content for the weekly electronic newsletter.
  • Assist in organizing meetings, events, and team activities, providing communication and logistical support as needed.
  • Contribute to the development and implementation of new projects, including space bookings and updating program resources.
 
Position Requirements

Qualifications

  • Educations: Secondary school diploma required; post-secondary diploma or degree in office administration an asset.
  • Experience: 3-5 years of administrative experience, preferably in health, social services.
  • Skills: Proficient in Microsoft Office 365, Canvas, Google Suite, client databases, and office software. Familiarity with various AI tools relevant to Admin work. Outstanding organizational, communication, and time-management skills. Self-directed, with the ability to work in a multi-disciplinary team environment.

  • Strong interpersonal and communication skills, both written and oral, in English.
  • Detail-oriented with excellent organizational and planning abilities.
  • Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
  • Ability to plan, self-direct, and initiate to ensure smooth operation
  • Experience working with vulnerable clients and in a non-profit, community-based setting.
  • Proficiency in using new platforms, technology, social media for program promotion and evaluation is essential

 

Linguistic Profile

  • Fluency in English is required.
  • Fluency in a language relevant to our client population is an asset.

 

 

 
Salary Range $24.39 - $28.67 per hour
