Accounts Payable Specialist 


Job Summary:

The responsibility of the accounts payable is to ensure the accuracy of vendor invoices, timely issuance of vendor payments and resolving of vendor issues.  The following documentation is meant as a general guideline of how the accounts payable department interacts between internal and external vendors and its purpose for processing of information.  The following topics shall be covered but not limited to:

Duties and Responsibilities:

Accounts Payable: 1) Verify documents of original entry for accuracy and appropriate authorization; 2) verify accuracy of all outgoing checks; 3) enter data into Blackbaud A/P system; 4) run all reports needed for check runs and all other reports for a/p as needed; 5) invoice processing using Blackbaud accounting system; 6) maintain ordering check for a/p; 7) handle all 1099 tax information for a/p; 8) resolve outstanding checks on a monthly basis.

Account Collections: 1) Handle disputes of payments to vendor on accounts; 2) deal with correspondence on accounts to collection agencies; 3) receive calls from outside vendor in reference to accounts.

Documentation: 1) Handle the close of year files and create new files for current year; 2) prepare letter and memo to staff and client in reference to a/p as needed. 3) Reconcile vendor accounts in an Excel spreadsheet as needed

Accounting Mail Correspondence: 1) Daily mail pick-up and delivery.

Other Duties: 1) Other duties as assigned.

Position Requirements
  1. AA degree in accounting required; BA degree in accounting desired.
  2. Two years experience in accounts payable processing.
  3. Proficient in Excel.
  4. Excellent team player with good communication skills, written and verbal.
