Document Management Specialist (Calgary, AB)

Savanna’s Technical Services group is currently seeking a Document Specialist based out of Calgary, Alberta. The Document Specialist will report to the Manager, Project Engineering, and as a member of the Technical Services Group will help gather and organize equipment documentation. This position would suit an individual with excellent organizational and communication skills proficient in using Microsoft Office with the ability to learn and use new software. The successful candidate will be responsible for:

  • Compiling, organizing and electronically filing equipment certifications, compliance verifications, inspection reports, operating and service manuals, parts lists and other documents in accordance with industry and regulatory requirements and Savanna policies;
  • Communicating and interfacing with vendors as required to obtain required documents;
  • Developing records management systems facilitating retrieval of documents by various Savanna personnel as required;
  • Identifying, evaluating and recommending corresponding software, imaging applications and other resources;
  • Ensuring that records maintenance activities are performed in an efficient and effective manner, and that records are accurate and up-to-date;
  • Working closely with various Savanna personnel to secure correct rig inventory documentation which may require rig site visits from time to time;
  • Verifying information and creating electronic equipment records accessible by various Savanna personnel as required;
  • Managing the Technical Services centralized on-line Standards and Specifications library in compliance with relevant copyright legislation;
  • Other related activities.


To be successful in this position, you will possess:

  • Proficient in the use of Microsoft Office;
  • Ability to learn and use new software;
  • Knowledge of Savanna’s existing information systems, policies, and procedures;
  • Excellent verbal and written communications skills;
  • Good organizational and time management skills;
  • Strong work ethic;
  • Thorough, with consistent attention to detail;
  • Ability to work independently as well as to collaborate effectively with the full cross-section of personnel within Savanna and other organizations.
  • 5+ years relevant equipment records and information management experience;
  • Experience specific to drilling and well-servicing equipment as well as knowledge of associated manufacturers and equipment suppliers will be considered a significant asset.
