The Invoicing Administrator plays a pivotal role within the company, ensuring precise and timely invoicing processes that are vital for financial accuracy and operational efficiency. This position requires a detail-oriented professional who can navigate the complexities of invoicing systems while adhering to stringent industry regulations. As an Invoicing Administrator, you will be responsible for generating, processing, and reviewing invoices related to defense contracts. Your attention to detail and analytical skills will be crucial in identifying discrepancies, maintaining accurate records, and collaborating with cross-functional teams to resolve any invoicing issues. Additionally, you will play a role in optimizing invoicing workflows, implementing best practices, and supporting audit functions. The ideal candidate will thrive in a fast-paced environment and possess a strong understanding of financial processes as they relate to government contracts and the unique requirements of the Defense sector. Your contributions will directly impact our financial integrity and help ensure that our projects continue to support national security and technological advancement.

Responsibilities

  • Generate and process invoices for defense contracts and aerospace projects.
  • Review and verify invoice accuracy and completeness before submission.
  • Collaborate with project managers and finance teams to resolve any discrepancies.
  • Maintain detailed records of invoicing procedures and transactions for audit purposes.
  • Assist in the development of invoicing workflows and best practices.
  • Monitor and track outstanding invoices to ensure timely payment.
 
Position Requirements
  • Degree: High School diploma or equivalent
  • Proven experience as an invoicing administrator or similar role in a finance department.
  • Strong understanding of financial principles and invoicing processes.
  • Familiarity with government contracting regulations and compliance requirements.
  • Proficiency in invoicing software and Microsoft Office Suite, especially Excel.
  • Exceptional attention to detail and organizational skills.
  • Strong analytical and problem-solving abilities.
  • Effective communication skills to collaborate with various stakeholders.
  • Experience using Costpoint is desired. 

This position will also entail learning the contract administration process to serve as a back-up to a contract administrator.

 
Salary Range 45K - 55K and will commensurate with experience  
Full-Time/Part-Time Full-Time  
Level of Clearance Required Secret Eligible
