Description

Position purpose:

Front Desk Manager is responsible for overseeing the daily operations of the Academic Success Centers’ front desk and virtual front desk. This role ensures smooth check-in, check-out, and student service procedures perform administrative/clerical work for various units of the Division of Student Affairs. The Front Desk Manager is assigned projects by the vice president or director(s) as needed. This position supports the division / department director in maintaining the routine functions of the educational day and school year. In addition, the Front Desk Manager assists with special activities, some of which involve attendance at evening and weekend events. The Front Desk Manager must exercise excellent judgment and communication skills to support a broad scope of stakeholders, including faculty, staff, administration, students, and parents. This position may handle sensitive and confidential information regularly, so diplomacy, tact, and discretion are essential skills.

 

Major Responsibilities/Duties/Functions/Tasks

Front Desk Manager will have a number of different responsibilities, which may include:

  • Staffing the College’s Zoom Front Desk; this includes being available on Zoom to answer questions, keeping apprised of common questions and answers, and relaying guests questions and concerns to supervisors.
  • Performing administrative tasks, including responding to emails, calls, organizing documents (physical and/or virtual), making phone calls, and performing data entry.
  • Performing research and data gathering projects as directed.
  • Maintaining facilities
  • Scheduling meetings and organizing meetings, travel arrangements and appointments.
  • Maintain and organize student records.
  • Purchasing office supplies and work with vendors
  • Working with office equipment vendors to purchase and maintain office equipment such as printers and fax machines
  • All other duties as assigned.

Education and/or Experience Requirements:

  • High School Diploma/GED Required
  • College credits/degree perferred

Professional Skills

  • Ability to communicate and write in business English;
  • Ability to use Microsoft Excel for basic spreadsheets;
  • Demonstrated professionalism, including attending meetings in a timely fashion and following up on goals and deadlines;
  • Demonstrated verbal communication, including the ability to listen to concerns and provide appropriate information;
  • Ability to multitask, as ASAs may be shared across multiple offices in the Division of Academic Success.

Work environment and physical functions

This position is located in an office environment. Generally an employee needs to be able to sit, stand, and navigate within the office area. The office equipment either individually used or shared with a department is the responsibility of all employees. Remote work will be required for all or part of the assignment. The employee needs to be able to connect to Zoom and participate in meetings with video and audio enabled

Preferred:

  • In-depth knowledge of Zoom and D2L.
  • Knowledge of recording or editing video.

Compensation:

The entry level compensation for this position is expected to be between $20 - $25 per hour.
