POSITION SUMMARY: The Office Manager for the School of Business is a vital staff member serving the largest academic entity in the College of Arts and Sciences of Moravian University. "Directly serves 14 full-time professors and a number of adjunct/part-time faculty". The Office Manager provides support to the Dean of SOBE, faculty, and students to assist their teaching, research, learning, and administrative responsibilities. The individual in this position works independently and takes initiative by playing the lead or integral roles in managing the SOBE's operations, serving as a liaison, and providing clerical support. This position is full-time, 12 months, with benefits, and will support students and faculty year-round.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
- Provide general administrative support to the Dean, Assistant Dean, and faculty to assist in their teaching, research, learning, and administrative duties.
- Serve as the first point of contact to students, visitors, and callers to The School of Business and Economics.
- Serve as a resource for undergraduate students in the SOBE.
- In collaboration with the Office of Academic Advising and the Registrar's Office. Manage the administration of student advising documentation and training:
- Maintain the content and organization of online student advising files as well as electronic faculty folders.
- Organize, manage, and advertise advising workshops for undergraduate students to help students manage their academic progress.
- Coordinate the assignment of faculty advisors for undergraduate student majors.
- Hire, train, and mentor student workers.
- Ensure that all undergraduate syllabi are posted and in compliance with ACBSP and University requirements.
- Coordinate undergraduate catalog changes with department faculty and the Provost's office in conjunction with School leadership
- Work with Admissions and other campus offices. to coordinate meetings between prospective students and faculty.
- Coordinate with Career Center and Registrar's office to promote internship opportunities to students.
- Serve as the webmaster for the School website and ensure that the website is kept up to date. and ensure that the website is kept up to date.
- Update departmental budgets regularly.
- Gather and analyze statistical data to support the operations of the school, minors, tracks, by advisor.
- Work on School events and new faculty onboarding, as needed.
- Performs other job-related duties as assigned by the Dean.
QUALIFICATIONS: A minimum of a high school diploma is required; an associate's degree and prior experience in an academic setting is preferred. The incumbent must have the ability and desire to work closely with all constituencies of the University and Seminary including students, staff, and faculty, in addition to the public. Ability to maintain confidentiality. Requires superior verbal, written, and interpersonal skills, excellent organizational skills, and ability to work effectively as part of a collaborative team. Must be willing to multitask in meeting operational and strategic needs of the School. A willingness to learn and openness to new approaches, as well as acceptance of individual differences are important. Computer literacy, as well as experience with Google Suite and Microsoft Office are required. Occasional early evening meetings.
