Community First Health Centers is seeking a dedicated Registration Supervisor to oversee our patient registration team, ensuring a smooth and efficient intake process. In this role, you will ensure accurate data entry, insurance verification, and patient satisfaction, all while maintaining compliance with healthcare regulations. The position is located in our New Haven Medical Clinic located at 58144 Gratiot Avenue, New Haven, MI 48048. Reporting to the Medical Center Practice Manager, this role collaborates closely with the EMR Specialist, quality, and the billing team to support the Patient-Centered Medical Home (PCMH) model and ensure a positive patient experience.

 

General Responsibilities

  • Deliver and model excellent customer service for patients and staff, coach front office staff in customer service best practices.
  • Review and implement policies and procedures for registration, insurance verification, and translation processes.
  • Ensure accurate scheduling of appointments, maximizing schedules according to best practices.
  • Serve as the EHR front office superuser; train front office staff on EHR features to ensure efficient system use.
  • Ensure compliance with registration processes, including obtaining necessary consents and accurate entry of UDS information.
  • Ensure protection of individually identifiable health information per HIPAA regulations.
  • Perform front office or insurance verification duties as needed; verify insurance eligibility and address scheduling errors.
  • Address patient concerns with assistance from the Practice Manager to improve patient satisfaction.
  • Develop a key metrics dashboard with input from the Practice Manager; track key metrics and provide monthly reports to the Practice Manager.
  • Supports success of clinic in meeting regulations and requirements for specified programs and key initiatives, including but not limited to, HRSA, PCMH, and FTCA.
  • Assist the Practice Manager in developing performance improvement plans.
  • Lead and manage the front office team, including receptionists, insurance verification specialists, and translators. Manage performance, conduct annual evaluations and coach on performance issues.
  • Train new department hires across all medical centers.
  • Provide front office staff with necessary resources, tools, and training.
  • Oversee front office scheduling, approve timecards, manage PTO approval, and inform the Practice Manager of staffing levels.
  • Hold regular meetings with front office staff to review processes, address needs, and provide training and support.
  • Assist the Practice Manager with meeting preparation, including preparing materials and providing topic recommendations from the front office team.
  • Collaborate with the Practice Manager, Medical Assistants, and medical center staff to achieve optimal patient access, flow, and scheduling.
  • Participate in the design and implementation of new front desk workflows.
  • Attend meetings, training sessions, and participate in committees as requested.
  • Performs other duties as assigned.

Position Requirements
  • High School Diploma/GED, Associate’s degree preferred.
  • Three-five years’ experience in a healthcare setting in supervisory or management role.
  • Experience working in a highly service-oriented environment where metrics and measurement tools are leveraged to assess results.
  • Experience working with practice management and EMR systems, eClinical Works (eCW) a bonus.
  • Proficiency in EHR systems and insurance verification processes.
  • Preferred Qualification: Two years' experience in a leadership role within a healthcare setting.
  • Excellent critical thinking, patient relations, organizational, and time management skills.
  • Strong attention to detail.
  • Experience in leadership and performance management.
  • Experience working with under-resourced populations.
  • The ability to work well under pressure in a time-sensitive environment.
  • Must successfully pass a background check and drug screen.
  • Demonstrated knowledge of medcial terminolgy.
