SUPERVISION RECEIVED: Reports to the Art Department Chair, with additional responsibilities under the Payne Gallery Director and the Manager of Music and Art Operations.

SUPERVISION EXERCISED: In collaboration with the Manager of Art and Music and Art Department Chairperson, oversee the hiring, supervision, and payroll approval for all Art Department (art office assistants, Studio South assistants, and studio classroom assistants) and Payne Gallery work-study students.

POSITION SUMMARY: The Art Department Office Manager provides comprehensive administrative support to the Art Department Chair, faculty, and students. Responsibilities include fiscal management, faculty support, event planning, facility management, marketing coordination, and other duties as assigned by the Art Department Chairperson and Dean of the College of Arts and Sciences.

EXPECTED WORK HOURS:

  • 8:00 am to 4:30 pm weekdays during the academic year; 8:00 am to 4:00 pm during the summer.
  • Occasional evening and weekend work required for Art Department and Payne Gallery events, with compensatory time off provided.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Provide logistical and administrative support to faculty, including, but not limited to, communication management, scheduling, event coordination, and record-keeping
  • Serve as the primary contact for the Art Department, handle routine tasks and correspondence, manage student enrollment information and distribute meeting minutes.
  • Act as the Chairperson's delegate for assigning academic advisers and support faculty and students for advising and registration.
  • Recordkeeping and budgetary bookkeeping reported to the Chair monthly, process payments and student payroll, purchase supplies, and maintain inventory records to support budgetary planning.
  • Manage and publicize Art department calendars, coordinate event publicity, and handle logistics for special events and trips, including transportation, reservations, and student communication.
  • Serve as a field trip leader and chaperone.
  • Coordinate locker, studio, and key assignments, manage classroom access, and oversee maintenance and safety compliance (including haz-mat pickup) for art department facilities.
  • Work closely with University Facilities and contracted art handlers to oversee the maintenance and operation of art department facilities, including galleries, studios, and classrooms including, accurate building and classroom signage, technology, Photography Lab maintenance, including but not limited to: silver recovery hazmat pick-up, and other special needs.
  • Assist with curriculum updates, schedule preparation, and enrollment management. This includes, but is not limited to proofreading, editing, communicating errors, ensuring balance of course needs and faculty availability etc.
  • Coordinate lab fees, textbook requests, guest lecturers, and maintain a list of life models. Process payment for all independent contractors.
  • Support event planning for the Art Department, coordinate marketing strategies with the University Marketing department, maintain calendars, social media accounts and manage publicity.
  • Update websites, engage with prospective students, and coordinate outreach and portfolio reviews.
  • Maintain positive relationships with local and regional arts organizations.
  • Promote the arts within the community and enhance the department's public profile.
  • Other duties as assigned by the Art Department Chairperson and Dean of the College of Arts and Sciences.

QUALIFICATIONS:

  • Bachelor's or Master's degree in arts administration preferred.
  • Strong experience in administration and/or management in the arts and interest in the visual arts.
  • Proactive and self-motivated, with the ability to anticipate and address departmental needs independently.
  • Strong written and verbal communication skills are essential.
  • Must possess a passion for education and student success.
  • Ability to manage multiple responsibilities in a fast-paced environment, prioritize tasks,and work independently and collaboratively.
  • Meticulous attention to detail and strong interpersonal skills.
  • Proficiency in Microsoft Office, Google Suite, and Docusign required; familiarity with Adobe Creative Suite preferred.
  • Experience with bookkeeping, payroll, accounting, and purchasing is essential.
  • Basic knowledge of social media and basic web editing skills preferred
