Senior Coordinator, Member Relations and Awards Administration 

Description

The Senior Coordinator, Member Relations and Awards Administration will provide administrative support to the Academy’s awards eligibility, qualification and submission process under the direction and guidance of the Senior Director, Member Relations and Award Administration. They will also provide support for membership and voting events, programs such as Awards Screenings, Bake-Offs, New Member Receptions, and assist with branch-related events and meetings.

We are seeking an organized, detail-oriented, proactive, and efficient individual who can anticipate needs, work cooperatively, and act with discretion. The Senior Coordinator must be able to work closely with departments across the Academy as well as liaise professionally with industry and community partners. They must also possess knowledge of CRM and Airtable data management, excellent communication, writing and interpersonal skills, superior organization and time management skills, and the ability to effectively work on multiple projects at once.

Duties and Responsibilities:

  • Answer incoming calls and emails - handling general questions pertaining to awards rules, submissions, and membership.
  • Provide general administrative support, including scheduling, notetaking, generating reports and summaries, drafting correspondence and presentations, prepping documents, maintaining files, tracking RSVPs for committee meetings and tracking deadlines as needed.
  • Provide administrative support for various award processes including Governors Award selection, key dates, award rules changes, voting and various Board committees.
  • Lead data tracking and entry for awards submissions, Academy Screening Room and Oscar qualifying festivals and provide weekly reports to the Chief Membership, Impact and Industry Officer.
  • Assist in planning, preparation, and execution of special voting events, including tracking RSVPs and member voting eligibility, creating invitations, and assisting with check-in.
  • Monitor and facilitate new member proposals throughout the year and compile information for nomination and new member announcements.
  • Monitor and work with the communications team and the membership department to maintain accurate and up-to-date information on Oscars.org and the awards submission platform.
  • Update and monitor the membership app weekly for Casting Directors, Cinematographers, Production and Technology, and Visual Effects branches.
  • Conduct research and evaluate results related to theatrical qualifying runs and potential awards rule changes.
  • Establish and maintain a professional and genial tone with Academy Members, community and industry partners, talent, guests, clients, and peers.
  • Other duties as assigned during the awards season.
  • Other duties and special projects as needed.
 
Position Requirements

Qualifications and Requirements:

  • A bachelor’s degree required.
  • Event production knowledge and experience preferred.
  • Ability to work discreetly and professionally with high level executives, VIPs, the Board of Governors, Academy members, industry partners, and the public.
  • Ability to maintain professionalism and confidentiality.
  • Expert skills with CRM, Outlook, Microsoft Office Suite, Airtable, Dropbox, Zoom, Zkipster, Govenda.
  • Excellent oral, written, and interpersonal communication skills.
  • Ability to work independently and cooperatively with other members of the Member Relations and Awards team as well as other Academy departments and outside companies.
  • Excellent strategic, problem-solving, and organizational skills.
  • Ability to work independently and under supervision.
  • Available to work evenings and weekends as needed.

The expected base salary for this role is $22 per hour. The actual base pay offered will be determined by factors such as experience, skills, training, location, certifications, education, and other factors permitted by law. Decisions will be made on a case-by-case basis.
