Reporting to the Associate Director of Academy Campus, and Support the Manager of Academy Campus, the Specialist of Academy Campus assists with overseeing the day-to-day building operations for the Academy Pickford Center of Motion Pictures Study building in Hollywood, CA, including assisting with vendor accounts and making sure the building remains clean and orderly to ensure a safe and efficient work environment for all staff and guests.

This position is represented by a union.

Duties and Responsibilities:

  • Assist with building operations at the Pickford Center building while working within the assigned Operations budget. Resolve issues or escalate as needed.
  • Assist with minor maintenance requests (tighten doors, plumbing problems, replace light bulbs, etc.) when needed.
  • Assist with picking up and delivering collections and other materials to multiple Academy sites.
  • Assist with managing alcohol storage and inventory and distributing alcohol Academy-related events.
  • Assist as backup support for building operations at Museum, 8949 Wilshire, and Fairbanks locations when needed.
  • Assist with being the point of contact and resource to Pickford Center staff for any Operational and Facilities-related issues.
  • Assist with billing and invoice processing.
  • Perform daily inspections of the building and adjacent grounds, including conditions of sidewalks, landscaping, parking lot, carpeting, lobbies, and hallways. Recommend solutions or improvements when necessary.
  • Support all mail room duties, including mail runs.
  • Assist with overseeing the usage and maintenance-related tasks for the Pickford Center van.
  • Assist with maintaining vendor relationships, including price negotiations, and overseeing service quality for all pantry supply vendors. Place supply orders as needed.
  • Assist with supervising the daily responsibilities of our Custodial Associates. Make arrangements with the custodial supervisor to schedule additional evening and weekend shift support for meetings and events, as required.
  • Assist with all events-related support, including set-up and breakdown.
  • Back up Resource Scheduler approver for van requests, as well as any needs to be provided by the Operations and/or Facilities team.
  • Work closely with the Facilities team to ensure the building runs efficiently. Assist with staff requests for improvements, office moves, furniture requests, etc.
  • Assist with various Awards-related responsibilities as needed, including coordinating and accepting product deliveries for all Oscar-related events and functions.
  • Support and assist the Theater Operations, Events, Facilities, and Security teams by helping to coordinate catering and/or rental deliveries, and event logistics, when Operations support is needed.
  • Assist with inventorying and ordering building supplies and paper products. Make sure all pantries and kitchenette supplies are restocked and refreshed daily.
  • Assist with maintaining earthquake supply materials, checking, and replacing expired items as needed.
  • Assist with special tasks as needed.
 
Position Requirements

Qualifications and Requirements:

  • A college degree preferred.
  • Must have a valid driver's license in good standing.
  • 3+ years of experience working in building operations and facilities.
  • Excellent interpersonal communication skills with the ability to work with all levels of personnel, Academy members, and the public.
  • Ability to work quickly and efficiently under high-pressure situations.
  • Must be dependable and have excellent follow-through.
  • Ability to work independently with little supervision as well as part of a team.
  • Computer skills including experience with Microsoft Office and Airtable preferred.
  • Must be flexible with scheduling and able to work weekends, overtime, and late hours if needed.

 

Physical Requirements:

  • Ability to move and transport up to 50 pounds.

The expected base salary range for this role is $24.04 - $26.92 per hour. The actual base pay offered will be determined by factors such as experience, skills, training, location, certifications, education, and other factors permitted by law. Decisions will be made on a case-by-case basis.
