Description

Position summary

  • The Compliance Admin/Assistant will be responsible for assuring correct routing and storage of technical documents, prompt response to technical document requests, and accurate data entry.
  • This position is important to our firm and the fulfillment of the duties and responsibilities contribute to the overall success of the company.

 

Essential tasks of the position

  • Manage and respond to requests for technical documents.
  • Perform verification step in automated document processing system for COAs.
  • Data entry projects as assigned by manager.
  • Assures proper COA’s and other Technical Documents are obtained and filed as appropriate.
  • Supply TSCA confirmations and USMCA certificates for inbound and outbound shipments.
  • Maintain databases with a high level of data integrity.
  • Performs any other task at the request of management.

 

Quality:

Activities of the position affect quality including quality objectives. Responsibilities and authorities include where appropriate:

  • Initiate action to prevent the occurrence of any nonconformities relating to product, process, or quality system, up to and including when necessary, stopping production to correct quality problems.
  • Identify and record any problems relating to the product, process, and quality system.
  • Document problems, steps taken for resolution and preventative action in CRM software and notifying all parties required.
  • Initiate, recommend or provide solutions through designated channels.
  • Verify the implementation of solutions in areas under your control.
  • Control further processing, delivery, or installation of nonconforming product until the deficiency or unsatisfactory condition has been corrected.
  • Perform duties and tasks as prescribed in company policies, procedures, and work instructions.

Position Requirements

Education:

  • High School Diploma or GED equivalent is required.
  • Bachelor’s degree or equivalent experience preferred.

 

Experience:

  • 1-3 years’ experience in an office setting. Prior experience in this industry or related field preferred.

 

Knowledge/Skills:

  • Intermediate level of expertise in MS Office
  • Intermediate level of expertise in CRM and ERP software systems
  • Excellent verbal and written communication abilities
  • Ability to maintain professional conduct that always exemplifies the corporate policies, particularly when interacting directly with internal and external customers
  • Ability to handle sensitive information with confidentiality and discretion
  • Detail oriented with strong, accurate clerical skills
  • Highly motivated
