As Office Support Staff you will effectively coordinate, manage, and oversee all aspects of client service to ensure customer retention through the provision of thorough, accurate service, and proficient problem resolution. Provide proactive assistance to the Producer and Client with their service needs.

 

Performance Expectations/Responsibilities

  • Provide proactive day-to-day client service by anticipating client needs and addressing inquiries promptly.
  • Collaborate closely with Producer(s) to ensure the retention of existing accounts.
  • Offer recommendations and seek solutions for insurance requirements and indemnification clauses in contracts and master service agreements (MSAs).
  • Efficiently manage the marketing and renewal process in alignment with agency workflows.
  • Implement a stewardship plan as needed, outlining a twelve-month customer service strategy and providing clients with periodic progress reports and year-end service summaries.
  • Accompany Producer(s) to client meetings for renewals and/or policy reviews. Independently attend client meetings for the same purpose.
  • Take the lead in renewal meetings with clients, including strategy determination, marketing, and carrier negotiations as appropriate and discussed with the Producer.
  • Utilize the Zywave system to establish a system of continual communication for large clients and use Mod Master to analyze existing experience modification factors and predict future mod factors.
  • Coordinate with Producer(s) to assemble necessary information for complete applications, submit applications to eligible carriers, and ensure timely receipt and accuracy of quotes and policies through follow-up.
  • Order and issue binders, certificates, policies, endorsements, and related items, verifying their accuracy and forwarding them to clients with appropriate correspondence with the assistance of the Account Manager.
  • Negotiate coverage terms, conditions, and pricing with underwriters.
  • Create accurate and professional renewal proposals and quote comparisons.
  • Conduct annual exposure analysis on all accounts, assess client’s risk, review and analyze exposures and loss experience, and identify uncovered exposures. Communicate and document uncovered exposures with clients, recommending appropriate coverage, products, and services in coordination with the Producer.
  • Review policy audits, verify accuracy, and facilitate corrections as needed between clients and carriers. Proactively manage the resolution of disputed audits.
  • Obtain Premium Finance information and assist with any agreements.
  • Assist in the collection of premiums.
  • Efficiently use the EPIC data management system and follow official agency workflows and guidelines within required timeframes.
  • Foster a positive atmosphere while working with the designated niche team, Producer, and Account Manager to accomplish the servicing and processing of client accounts.
  • Ensure the workload is maintained to meet current desk standards established by the agency.
  • Attend Commercial Lines meetings, trainings, and classes as requested by management or required for the appropriate state licensing and designations.
  • Upholds honesty, integrity, professionalism, and respect.

 

Compensation & Benefits

  • $55,000 - $70,000 Annually
  • Medical, Dental, Vision, 401k with company match

Position Requirements

Required Skills

  • Demonstrates a high level of technical insurance knowledge.
  • Capable of working both independently and collaboratively in a team environment, with strong interpersonal and conflict resolution skills.
  • Possesses excellent written and verbal communication skills.
  • Effectively manages multiple projects and consistently meets deadlines.
  • Demonstrates the ability to analyze and interpret complex and abstract insurance situations.
  • Exhibits a solid knowledge of insurance products, usages, and markets, coupled with an understanding of insurance rating and underwriting procedures.

 

Education/Training Requirements

  • Bachelor’s degree preferred, or equivalent insurance experience.
  • Proficiency in utilizing a desktop or laptop computer, calculator, agency management system, and all Microsoft products, including but not limited to Word, Excel, and Outlook, is essential.
  • Maintain insurance license as required by the appropriate State Department of Insurance, and Mountain West Insurance & Financial Services, LLC.

 

Work Environment/Physical Demands

  • Extended periods of sitting at a desk while using a computer and other office equipment.
  • Repetitive motion tasks, such as typing, data entry, and phone use.
  • Occasional lifting of files or other materials, typically weighing up to 20 pounds.
  • Ability to move freely around the office space to collaborate with colleagues or access office resources.
  • Visual acuity to read documents, screens, and fine print on documents.
  • Manual dexterity to operate office equipment and handle paperwork efficiently.
  • Ability to maintain focus and attention to detail in a sometimes fast paced and multitasking environment.
  • The office environment typically has a moderate noise level consistent with a professional office setting.
  • Some travel may be required for this position, primarily for attending training sessions, conferences, or meetings with clients or stakeholders. A valid driver's license and reliable transportation may be necessary for travel to off-site locations.
