Summary/Objective
The administrative coordinator position is responsible for overall office activities for Parent Directed Program (PDP), including mail, mailings, supply orders, scanning of documents, and general clerical activities for PDP.

 

Essential Functions
Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • Conducts training sessions for families and staff in the Anywhere software process.
  • Trains approximately 1-6 individuals per month, either in-person through office appointments or remotely over the phone.
  • Allocates at least one hour per person for comprehensive training sessions.          
  • Updates Advisor and files as necessary.
  • Distributes training forms via DocuSign, managing approximately 158 DocuSign per month for staff members and families.
  • Sends out Annual Packets and Budget Sheets (if required) to approximately 70-90 individuals monthly.
  • Retrieves and downloads all individual served related information and files it in electronic filing system.
  • Sends out New Hire emails to staff members, onboarding approximately 34 individuals monthly.
  • Provide ongoing Anywhere softward support to families and staff members.
  • Address issues such as resetting passwords, answering queries, and troubleshooting problems.
  • Distributes software training videos to enhance user understanding.
  • Manages software updates, ensuring effective troubleshooting and communication updates.
  • Receives, sorts, and distributes mail to Boundless PDP staff persons. 
  • Participates as needed in special department projects.
  • Reviews electronic documentation for accuracy and completion.
  • Reviews Individual Service Plans (ISP’s) prior to the start of services and enters goals and outcomes into the electronic system.
  • Scans employee and client documents into the electronic filing system.
  • Enters new families and employees into PDP’s database.
  • Communicates with PDP families and routes to appropriate person for follow-up. 
  • Communicates Medication Administration to families and files the MAR’s.
  • Assists with front desk coverage when needed.
  • Enters new family email addresses into the system for Family Support.
  • Cross-trained on Family Support to back-up when staff are on leave.
  • Adheres to company policies and procedures in addition to regulations, laws and other requirements from applicable governing  bodies, certification, licensure and /or accreditation entities, ect.
  • This job operates in a professional remote environment. Meetings and visits to Boundless campuses and other locations may be required on occasion.

 

Education, Skills, Experience and Requirements

  • High school diploma or equivalent.
  • At least three years of previous experience in administrative assistance and coordination.
  • Excellent working knowledge of all Microsoft Office software.
  • Experience with Advisor and Gatekeeper preferred.
  • Experience with people with intellectual, developmental disabilities, autism or other complex needs a plus.
  • Proficient in using communication tools and platforms. 
  • Familiarity with training methodologies and techniques.
  • Ability to adapt to a flexible schedule, including both in-person and remote training sessions.  
  • Valid driver's license and insurable driving record, if applicable.

Additional Eligibility Qualifications

  • Must be able to function independently and have flexibility, personal integrity and the ability to work effectively with consumers and other staff.
  • Must be able to relate to and work with ill, disabled, elderly, emotionally upset and at times hostile people within the facility.
  • Must possess the ability to make independent decisions when circumstances warrant such action.
