Reporting To: General Manager
Status: Non-Exempt, Part-Time
Salary: $25.00 - $30.00 per hour DOE

EMPLOYEE OWNER POSITION PURPOSE:

As our onsite Accounting Assistant, you are charged with two critical tasks - providing accounting support and ensuring communications to the Controller, Directors, Committees, Homeowners, and fellow Employee Owners are consistently professional, clear, and thorough. You are dedicated and reliable, as well as passionate about helping others, problem-solving, and celebrating wins. JOB DUTIES AND RESPONSIBILITIES:

  • Communicate with internal personnel, homeowners, vendors, etc. in a professional manner while ensuring client satisfaction with each interaction.
  • Front desk assistance as needed, accepting homeowner payments for social events, fitness tickets and access devices.
  • Assist homeowners with questions about their assessment accounts. Facilitate necessary adjustments or fee waiver requests.
  • Collect and count POS cash from the lockbox/safe; reconcile to payment vouchers.
  • Prepare Square POS accounting reconciliation, send to Controller
  • Weekly or as needed, take accumulated cash received to Post Office to purchase money order.
  • Weekly or as needed, deliver money order and checks received to the Folsom office for deposit.
  • Prepare accounting worksheet delineating the GL codes for all receipts for deliver to Controller.
  • Manage petty cash for the HOA (distribution and replenishment).
  • Prepare monthly fitness program report showing all receipts and expenses.
  • Working with Lifestyle Coordinator, prepare monthly social program report showing all receipts and expenses.
  • Provide GL coding and backup support for debit card purchases, relay to Controller.
  • Support the Controller in managing homeowner accounts and member services (i.e. general customer service, statement and other correspondence preparation, etc.)
  • Track monthly accruals at the association level and communicate to Controller.
  • Assist in preparation and processing of Expenditure Request Forms.
  • Providing information and supporting documentation to Finance Committee and Board of Directors as requested.
  • Other duties and special projects as assigned.

QUALIFICATIONS:

  • Experience and/or education in Accounting/Bookkeeping and Customer Service; bachelor's degree in accounting not required, but highly preferred.
  • Proficient in Microsoft Word, Excel, and Outlook, and internet browsers.
  • Ability to quickly grasp new accounting software.
  • Ability to work independently and as part of team.
  • Ability to prioritize and manage multiple projects while meeting deadlines (critical).
  • Strong organizational skills, keen attention to detail, and proactive thinking.
  • Ability to communicate with professionalism and clarity.
  • Strong work ethic and commitment to the Association's and Company's objectives.

ESSENTIAL FUNCTIONS:

  • Use standard office equipment, including: computer, phone, copier/scanner, etc..
  • Be stationary for periods of time.
  • Relocate up to (25) pounds.

SCHEDULE & TRAVEL:

  • Monday-Friday, approximately 20 hours. Schedule is negotiable.
  • This position may require occasional long hours to meet business needs.
