Definition

Responsible for oversight of all aspects of the Dental Front Desk operations, including patient appointments, collections, billing, and discount program eligibility for non-insured patients. Responsible for supporting a positive experience for all Health Center patients including addressing patient complaints directly or referring to the Chief Dental Officer as appropriate. Supervises Front Desk Specialists.

Roles & Responsibilities

Front Desk Management:

  • Oversees and is responsible for non-clinical day-to-day operations with physical presence onsite, including data entry, registration, eligibility, collection of patient payments, billing, scheduling, distribution of mail, medical records, supply inventory, patient flow, and patient outreach.
  • Accepts non-clinical responsibilities/duties assigned or requested by the Chief Dental Officer or Associate Dental Director.
  • Maintains the office hours of the center and abides by HealthWorks for Northern Virginia's policy for vacation, personal days, and annual leave.
  • Observes HealthWorks' policies, procedures, and protocols to achieve HealthWorks' objectives
  • Performs yearly skill assessments of all direct reports using the Front Desk Specialist skills assessment and competencies check list.
  • Ensures that proper Dental Front Desk policies and procedures are being followed regarding eligibility, professionalism, etc.
  • Works collaboratively with all Site Office Managers to ensure Front Desk procedures are consistent across all sites.
  • As needed, completes or delegates enrollment forms and slide eligibility screens and compiles supportive documentation for patients.
  • Addresses patient concerns and complaints.
  • Keeps lines of communication open working collaboratively with all dental team members
  • Coordinates patient communication such as appointment rescheduling, phone system updates, and affixing site signage to dental suite door during inclement weather or other closures;
  • Must be able to perform all Front Desk Specialists job duties. Must have the ability to step into this role as necessary.
  • Manages referrals to the dental program from HW Referral Coordinators or other HW staff.
  • Assesses front desk operating protocols and, as indicated, develops updated protocols, collaborating with other staff as indicated.
  • Review all policy and protocol changes with the Chief Dental Officer and secure approval before implementation
  • Ensures that all staff have completed orientation, OSHA requirements and competencies and are fully trained and prepared for Front Desk Specialist position; and
  • Ensures that the dental waiting room is regularly checked and kept clean and tidy.

Staff Scheduling:

  • Establishes and maintains schedule for Dental Front Desk and support staff including working collaboratively with Site Office Manager(s) and to ensure adequate Front Desk staffing levels.

Financial Responsibilities:

  • Prepares the daily deposits and ensures that they balance with the end of day reports from eCW;
  • Submits deposits to Finance Department daily for bank deposit.
  • Resolves billing issues with billing contacts to include health plans and billing vendors; and
  • Monitors daily activity reports generated from eCW for accuracy.

Supervisory:

  • Front Desk Specialist

Administration:

  • Assists the Site Office Managers and other senior staff in collecting and compiling data to meet grant requirements, including the requirements of the Uniform Data System report mandated by Health Resources and Services Administration; and
  • Submits requests for the ordering of materials and office supplies to Controller.
 
Position Requirements

Qualifications & Education Requirement

  • Associate’s degree in Business Administration or related field preferred OR High School Diploma and 4 years of equivalent work experience required.
  • 2-3 years experience in a health care setting required with community health care preferred.
  • 2 years of accounting and customer service experience preferred; and
  • 2 years of progressive responsibility in a leadership role preferred.

Knowledge, Skills, & Abilities

  • Ability to read, write and communicate clearly and effectively in English and Spanish required.
  • Excellent organizational and analytical skills.
  • Intermediate Microsoft Office and electronic medical records skills including the preparation of reports.
  • Demonstrates strong customer service skills.
  • Ability to prioritize and execute a variety of tasks simultaneously.
  • Self-motivated.
  • Ability to maintain cooperative relationships with patients, families, providers, staff, and other customers/vendors.
  • Ability to be flexible and is highly reliable.
  • Knowledge of Front Desk operating procedures in dental setting.
  • Excellent grasp of dental terminology and understanding of dental billing procedures.
  • Superb understanding of Medicaid, Medicare, and private insurance processes regarding FQHCs.
  • Exemplifies excellent customer service with patients, visitors, and other employees by maintaining professionalism in all forms of communication including verbal, non-verbal, written, and electronic form.
  • Consistently demonstrates courteousness, friendliness, helpfulness, respectfulness, reliability, and flexibility.
  • Relates well and works collaboratively with all levels of staff in a professional manner.
  • Takes initiative to proactively assist others and to resolve problems with other departments and coworkers without direct supervision.
