POSITION OVERVIEW:

The Administrative Coordinator will play a crucial role in supporting the operations of two offices within the Atlanta market, with a primary focus on handling billing, accounts receivable/accounts payable (AR/AP), and invoicing duties. This position requires meticulous attention to detail, strong organizational skills, and the ability to multitask effectively. The successful candidate will ensure smooth administrative processes and contribute to the overall efficiency of the offices.

 

 

RESPONSIBILITIES:

  • Support administrative tasks such as answer incoming phone calls, filing, data entry, and maintaining office supplies inventory.
  • Provide general administrative support to ensure efficient office operations.
  • Write up work tickets and electronically dispatch to techs for daily rental set-ups.
  • Assist with collections of daily rental jobs/customers, including generating invoices, verifying accuracy, and sending invoices to clients in a timely manner.
  • Maintain financial records and documentation related to billing and invoicing activities.
  • Assist with the preparation of financial reports and summaries as required by management.
  • Coordinate with clients and internal departments to resolve billing inquiries and discrepancies promptly.
  • Monitor payment schedules and follow up on overdue accounts to ensure timely collections.
  • Act as a liaison between the Covington and Augusta offices, facilitating communication and coordination as needed.
  • Travel to the Augusta office occasionally to provide on-site support and assistance.
 
Position Requirements

QUALIFICATIONS:

  • High School Diploma or GED is required. Associate degree is preferred.
  • Must have 3-5 years of experience as an office administrative assistant, construction industry is a plus.
  • Proven experience in administrative roles, with a focus on billing, AR/AP, and invoicing.
  • Proficiency in Microsoft Office suite, particularly Excel and Word.
  • Excellent communication skills, both written and verbal.
  • Proficiency in using billing software and accounting systems is essential for processing invoices, payments, and reconciling accounts accurately.
  • Strong numerical skills and the ability to analyze financial data are necessary to identify discrepancies, resolve billing issues, and provide accurate reports.
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Willingness to travel to the Augusta office as required.
