Development Associate, Foundation Relations  

Main Focus Overall administrative and data support for the Foundation Relations team.  
LOCATION Palo Alto, CA (hybrid); the successful candidate for this role will be based in the Bay Area.

WHAT YOU’LL DO

Reporting to the Associate Director of Foundation Relations, the Development Associate provides administrative and fundraising support to the Foundation Relations team. Primary responsibilities include but are not limited to management of Raiser’s Edge (managing donor records, tracking donor actions, generating reports, building queries, optimizing dashboards, entering call reports, and ensuring the department pipeline is accurate for executive leadership), managing the CRM transition for the Foundation Relations team, scheduling meetings with faculty members and donors, scheduling hospital tours, and maintaining accurate files. The Development Associate will strategize and think creatively to enhance the overall foundation giving efforts and initiatives. This entails collaborating and building productive relationships with other departments to enhance productivity. This will also require a comprehensive understanding of the department’s workflow and style, and the ability to handle several projects concurrently.

The compensation range for this position is between $29-$34 per hour.

 

YOU’LL BE RESPONSIBLE FOR…

Administrative Support and Gift Management (55%):

  • Coordinating internal and external meetings and Hospital tours, including scheduling, setting agendas, booking conference rooms, arranging catering and travel arrangements, preparing and disseminating meeting materials, providing AV support, taking notes, and tracking post-meeting action items.
  • Creating comprehensive and professional slide decks as needed for meetings.
  • Ensuring that the department’s documents on the shared drive are filed and named efficiently with standardized naming conventions.
  • Handling all paper and electronic filing including assembling and submitting gift transmittal forms on a regular basis.
  • Routing gift agreements for signatures.

Database Management (35%):

  • Managing and enhancing Foundation Relations functions in Raiser’s Edge. Duties include data entry, ensuring data integrity, tracking moves management, generating reports for institutional leaders, building queries, optimizing dashboards, documenting protocols, as well as optimizing our information about proposals, donor visits, call reports, new prospects engaged, contacts, and volunteer activity.
  • Creating new metrics by which to showcase the success of Foundation Relations to executive leadership.
  • Creating new and updating existing donor records and contacts in Raiser’s Edge, documenting them for data metric purposes.
  • Collaborating with the appropriate departments to manage various events, mailing, and donor lists.

Special Projects (10%):

  • Assisting with grant submissions, prospect research, and stewardship tasks as requested.
  • Collaborating with the advancement services team to improve the award booking process.
  • Accepting additional responsibilities and assisting other departments or Foundation staff as needed. Constructively contributing to the success of Foundation Relations by identifying, researching, and/or participating in any projects to improve the functionality, processes, and procedures of the department.
  • Participating in establishing best practices related to administrative and database management.
  • Demonstrating resourcefulness, flexibility, and a collaborative approach to the work.

Other Responsibilities:

  • Maintaining positive professional relationships via email, phone, and in person with hospital staff and faculty, donors, and patient families, and maintaining confidentiality when needed.
  • Understanding, supporting, and modeling the Foundation’s cultural touchstones at all times.
  • Taking responsibility for own career development and seeking opportunities to enhance skills and knowledge of the department and the Foundation.
  • Showing initiative to take on additional tasks, duties and assignments to ensure the department fulfills its responsibilities.
  • Performing other related duties as assigned.
  • Regular and predictable attendance is required.
 
Position Requirements

YOU MUST HAVE…

  • 2+ years directly-related work experience in a support role
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook)
  • Experience managing complex projects with minimal supervision
  • A genuine interest in maternal and child health

 

IT’S AN ADDED PLUS IF YOU HAVE EXPERIENCE WITH

  • Constituent relationship management database systems (especially Raiser’s Edge)
  • Fundraising, especially in an academic or medical center setting, or a strong desire to work in fundraising
  • Data management and analysis

  • Adaptability and Flexibility: Ability to take initiative, work independently in a team environment, and be adaptable in the face of changing priorities.
  • Relationship Builder and Clear Communicator: Excellent interpersonal skills and ability to communicate and work collaboratively with diverse population groups (constituents, physicians, faculty, staff, vendors, etc.).
