Special Events Manager 

Description

Organizes and manages community special events, such as the annual Rose Show and Festival, Victorian Christmas, First Fridays, July 4th Celebration, Black History Celebration and others as assigned. Responsible for assisting with destination marketing and communication initiatives, working directly with Main Street, Tourism and Marketing. Responsible for facility management of the Municipal Auditorium and The Ritz Amphitheater.

Responsible for developing, organizing and planning all designated special events to include coordinating marketing and communications efforts such as press releases, collateral material, website and social media updates, etc.

Manages all aspects of event execution, to include problem-solving, welcoming guests, directing event set-up, communicating with staff, organizing vendors and managing break down of event area. Anticipates and plans for various scenarios such as rain plans, etc. as part of event planning aspect.

Responsible for developing, organizing and planning annual community-wide special events, such as the Rose Show and Festival, Victorian Christmas, July 4th Celebration, Black History Month and First Friday Sip and Shops. Execution will include implementing an annual marketing plan, writing promotional and publicity material, coordinating and booking entertainment, creating and accepting event applications, communicating with stakeholders and staff and all other aspects of event management.

Collaborates with and contributes ideas to the design and development of all collateral material, marketing and advertising plans related to special events, event venues and tourism initiatives.

Develops and maintains relationships with key stakeholders and community partners, to include various citizen groups, subcommittees and internal departments of the City of Thomasville for the purpose of planning and executing event and tourism development initiatives.

Responsible for managing special event budgets, to include recommending entertainment and marketing initiatives that will maximize available funds.

Responsible for managing and coordinating The Ritz Amphitheater and the Municipal Auditorium as a rentable public venue. This includes facilitating rental requests, coordinating renter needs and assisting with the development of public programming initiatives to include but not be limited to developing and implementing from start to finish all contracts for artists, performance groups, and rentals.

This position is also responsible for coordinating building maintenance.

Ensures that public events scheduled in the above facilities are included on state and local community calendars, This Week In Thomasville, and social media initiatives, where appropriate.

Facilitates ticketed special events that are held in the Municipal Auditorium and The Ritz Amphitheater. This includes scheduling, ticketing, promotional marketing, and coordinating with key stakeholders.

 
Position Requirements

Bachelor’s degree in Marketing, Communication, Public Relations, Event Planning or related field and/or 2-3 years increasingly responsible event planning experience.

Highly effective written and verbal communication skills

Exceptional organizational skills

Ability to manage multiple projects and meet deadlines

Ability to delegate responsibilities

Ability to make executive decisions

Ability to work independently and as a team member

Ability to maintain budgets

Active involvement in community and civic programs and events

Extensive knowledge of Microsoft Excel, Power Point, Access and design software.

 
Physical/Environmental Requirements Mainly office environment but will work in a number of different settings (mainly outdoors) while organizing, implementing and participating in City-wide events.
