SUMMARY: The FSA Administrative Assistant performs a variety of specialized administrative and office support functions for the Flexible Spending department; ensures Flexible Spending claims are coded and processed correctly, processes payroll files, creates and maintains specialized reports, records and files required in connection with department work processes; and performs related duties as assigned.

 

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Maintain regular office hours.
  • Manage incoming faxes for the FSA Department.
  • Receive and distribute mail correspondence.
  • Handle a variety of basic office tasks, such as filing, faxing, copying, etc.
  • Generate, print and prepare quarterly statements for mailing.
  • Produce claim denial letters for mailings.
  • Receive and respond to customer support phone calls and e-mail inquiries via the Flex Inbox from participants, clients and members.
  • Process manual payroll files received from clients.
  • Import payroll files received from EDI as needed.
  • Review and process FSA claims according to group specific rules established within plan document.
  • Maintains high quality and productivity standards set by FSA Supervisor or Manager.
  • Ensures all Flex claims are coded properly processed timely and within department guidelines
  • Create check runs for Accounting and release checks in timely fashion.
  • Performs other duties and responsibilities as assigned by Management.
  • Work with all departments within BRMS as needed to complete assigned tasks

Supervisory Responsibilities:  This job has no supervisory responsibilities.

Education and/or Experience: High school or G.E.D. equivalent; and minimum of one to two years of increasingly responsible office administrative, or equivalent combination of education and experience.

 

Language Skills: Ability to read, speak, and write effectively in English. Ability to interpret documents such as safety rules, memos, letters, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively before customers or employees of organization. Ability to effectively address or resolve customer service issues within guidelines of the position.

 

Mathematical Skills: Ability to add and subtract, multiply and divide with 10's and 100's. 

 

Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to deal with problems involving several concrete variables in standardized situations.

 

Certificates, Licenses, Registrations: Valid, class C license in state working with no adverse driving record.
