SUMMARY

Under direction of Trust Officers and experienced administrators; responsible for all aspects of account opening, maintenance, and review as related to the Trust and Wealth Management Department. Assists in performing, monitoring and documentation of various functions and responsibilities, in accordance with established policies and procedures.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Maintain strict privacy regarding customer account information. Maintain customer confidence and protect bank operations by keeping information confidential.

  2. Provide customers with exceptional customer service and executes operational excellence. In person: Greet every customer with a smile, maintain eye contact, call them by name, stay connected in conversation and let them know they are appreciated. When on the telephone: Speak with a smile, call them by name, stay connected in the conversation and let them know they are appreciated.

  3. Assist with operational issues using internal Bank and Trust software to deposit funds, process distributions, or to effect transactions.

  4. Open new accounts, obtain required information and verify accuracy. Set up and maintain related files and documentation.

  5. Visually review and check reports on past transactions to determine accuracy, by identifying any discrepancies and resolve.

  6. Compose letters of instruction and/or authorization.

  7. Make travel arrangements when requested.

  8. Opening and closing office based on schedule.

  9. Receive, determine, and direct clients and visitors in a professional manner. Keeping the front lobby and conference room(s) clean, organized, and prepared for client visits.

  10. Prepare various departmental reports and handle IRA matters.

  11. Perform miscellaneous duties such as: typing correspondence and documents; printing copies and scanning documents; mail printed materials; file; maintain reference books and materials.

  12. Effectively communicate with staff and vendors to identify the needs and functions of internal and external customers. Distribute appropriate information to internal and external partners.

  13. Ability to add, subtract, multiply, and divide numbers, while also understanding percentages. Ability to perform these mathematical skills using money and other forms of measurement.

  14. Operate computer, keyboard, telephone, scanner, and copier. Strong computer skills including general knowledge in MS Office Outlook, typing, 10 key, and the internet. Strong knowledge of Microsoft Excel will be required.

  15. Proficiency with internal bank and Trust software will be required.

  16. Must be able to arrive at work on time, work on site and work cooperatively with other co-workers.

  17. Must be able to prioritize projects and exhibit strong problem-solving skills. Self-directed, use initiative to identify needs and conceptualize how to meet those needs.

  18. Ability to adapt to changing conditions and work assignments. Able to work on multiple projects simultaneously, managing time and resources to ensure work is completed efficiently and timely.

  19. Complete all online compliance Teal Training courses in a timely manner.

  20. Additional duties may be assigned or required by management.

SUPERVISORY RESPONSIBILITIES: This position has no supervisory responsibilities.

QUALIFICATIONS |EDUCATION | EXPERIENCE:

• Candidate must be, at minimum, 18 years of age

• High School Diploma or GED Required

EXPERIENCE OR EQUIVALENT YEARS OF RELEVANT WORK EXPERIENCE

Past experience in a professional, service-oriented office and providing administrative support (bookkeeping, paralegal or paraplanner) is preferred.

Hours Required: Regularly Scheduled Hours / Week 40 hrs

  • Monday – Friday 8:00AM-5:00PM | Extended working hours may be required.

PHYSICAL DEMANDS AND WORK ENVIRONMENT INFORMATION:

Physical Demands

The employee must possess sufficient mobility to work in and move about in a standard office setting and sufficient hand, arm, and finger dexterity to operate a computer keyboard and other office equipment. Substantial time may be spent on the telephone and working on a computer, sitting and/or standing. The employee must have the ability to hear and articulate well enough to carry on a normal conversation, both in person and over the telephone. Visual abilities required by this job include the ability to read materials in either a printed format or on a computer screen. The employee must occasionally lift and move up to 10 pounds.

Mental Demands

The duties of this position require the ability to maintain attention to detail and complete work projects accurately in a short amount of time, despite interruptions.
