SUMMARY

Under the direction of the Vice President of Sales, the Sales Coordinator will perform a wide range of sales, customer service, and administrative tasks to aid in the efficient operation of the department. The incumbent will exercise considerable latitude and discretion of action, using good judgment when carrying out assignments that may be sensitive and express a confidential nature.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Process orders, which means issuing Pick Tickets from initiating orders to tracking the delivery.
  2. Track Proformas and contracts.
  3. Process form submittals required for new customer setup and new vendor setup.
  4. Reconcile monthly purchases.
  5. Setup and maintain customer files --- digital and hard copies.
  6. Welcome walk-in customers and schedule initial meetings if needed.
  7. Draft presentations, proposals, and sales contracts as needed.
  8. Coordinates with appropriate teams to review and approve all signed contracts for the work performed in the sales department.
  9. Maintain and order department materials and supplies, ensure team members have all packets and collateral when needed and requested.
  10. Support with customer inquiries and retention.
  11. Assist and conduct customer site tours.
  12. Lead in the setup and attendance of trade shows, conferences, and Expos where Opportunity Village is tabling and presenting.
  13. Maintain all memberships to outside organizations.
  14. Prepare memos and letters as needed.
  15. Handle all office mail – incoming and outgoing.
  16. Coordinate with IT and Facilities departments for all department service-related needs.
  17. Work collaboratively with the Communications Team to share ideas and provide feedback related to lines of business branding, marketing materials, social media posting, and other relevant collateral.
  18. Create imagery and artwork for customer-customized orders.
  19. Report suspected Abuse, Neglect, Exploitation, Isolation, and Abandonment (ANEIA) immediately as mandated by state law.
  20. May be assigned other duties as needed.

This position does not directly supervise others.

EDUCATION AND EXPERIENCE

    •  
  • Required: High School Diploma or equivalent with three (3) years office administrative experience.
  • Preferred: Associate's Degree or higher in Business Administration, Sales, Marketing, or related field, accompanied by one (1) year of administrative experience.
  • Required: Must be proficient in Microsoft Office products (i.e., Word, Excel, Outlook, and PowerPoint.
  • Preferred: Experience working with individuals with disabilities.
