A day in the life of an Executive Assistant:

  • Serve as the primary point of contact for the Executive Director of Account Management, facilitating communication and coordination within the department and across the organization.
  • Manage the Executive Director's calendar, including scheduling meetings, conferences, teleconferences, and travel accommodations, with a focus on prioritizing sensitive matters.
  • Organize and prepare for meetings on behalf of the Executive Director, including managing logistics, sending reminders, arranging catering, and taking and recording minutes as needed.
  • Provide comprehensive administrative support by maintaining records, ordering supplies, answering phones professionally, and preparing documents.
  • Independently address administrative problems and queries in a timely and efficient manner, offering general support for visitors as related to the Executive Director's needs.
  • Handle sensitive and confidential information related to financial, compliance, and organizational matters with discretion and integrity.
  • Foster professional interactions across the organization to promote a cohesive and positive work environment, directly contributing to the morale of the team.
  • Assist in the management and maintenance of the team's fleet program, ensuring operational efficiency and compliance with organizational policies.
  • Support the Executive Director in budget management tasks, including monitoring expenditures, assisting with budget preparation, and ensuring financial compliance.
  • Undertake special projects and other duties as requested by the Executive Director.
  • Adheres to all company policies and procedures regarding employment, safety, and compliance, and report any concerns of non-compliance in any area to your manager immediately.

Position Requirements
  • Bachelor's degree preferred OR any similar combination of education and experience
  • Three (3) to five (5) years of administrative office experience preferred
  • Effective oral and written communication skills
  • Excellent interpersonal skills
  • Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines
  • Advanced knowledge of MS Word, Excel, and PowerPoint required
  • Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands while prioritizing work.
  • Must be able to interact and communicate with individuals at all levels of the organization
