Description

JOB PURPOSE: This position provides administrative support to the Migrant Services line of service, including travel and expense management and invoicing. The Administrative Assistant will provide administrative support to the Migrant Services Senior Director, National Directors as well as the Talent Acquisition Manager.

 
Position Requirements

ESSENTIAL JOB RESPONSIBILITIES:

  1. General Duties
    1. Manages daily assignments and ensures deadlines are met and work is completed correctly;
    2. Prepares/modifies documents including correspondence, reports, drafts, memos, and emails;
    3. Respond to INFO emails and requests for information;
    4. Takes detailed meeting minutes, schedules due outs, and follows up to support completion
  2. Travel & Expense Management
    1. Handle all details associated with travel arrangements including flights, local transportation and accommodation for MS Senior Director and other National Directors
    2. Manage credit card and related expenditures, prepare, code, and submit bills, invoices, receipts, and expense reports via Concur;
    3. Confirm travel-related appointments and all other travel details.
    4. Prepares travel invoices for government contracts
  3. Correspondence/Presentations
    1. Draft and/or compose correspondence and presentations as assigned;
    2. Provide presentation support, Excel Spreadsheets, or other presentations;
    3. Submit office related receipts including but not limited to supplies, mail, etc.
  4. Organization of files and records
    1. Manages files, organizes and maintains documents in electronic filing system(s);
    2. Ensures documents are filed and maintained on SharePoint;
    3. Serves as keeper/tracker of organizations documents.
  5. Other Key Duties
    1. Supports administrative duties for Talent Acquisition Manager
    2. Shipping documents or marketing materials as necessary.
    3. Supports event planning tasks
    4. Special projects as assigned by MS Sr. Director
  6. Demonstrate Exceptional customer service, in Everything you do, by placing the child, family, Veteran or client first to support our mission to "Empower people to build better lives for themselves, their families, and their communities."

ESSENTIAL QUALIFICATIONS:

EDUCATION: High School Diploma or GED required. Associates degree in business administration or related field preferred.

EXPERIENCE: Two years of experience working in an administrative role, including experience serving director level staff strongly preferred.

  • Proven experience in providing exemplary assistance
  • In-depth understanding of administrative procedures
  • Proficient in MS Office (Word, PowerPoint, Excel)
  • An analytical mind with problem-solving skills
  • Detail oriented on written materials
  • Excellent organizational and multitasking abilities
  • A team player

ATTENDANCE: Must maintain regular and acceptable attendance at such level as is determined in the employer’s sole discretion. Flexibility in hours required as needed for business purposes.

LICENSES: Driver’s License with clear record.

VEHICLE: Must have daily use of a vehicle without prior notice.

OTHER: Must be available and willing to travel to various locations and with such frequency as the business need dictates.

Salary/Wage Starting at $58,000/annually
