Job Summary:

The acquisitions specialist works in the archive Collection Department under the supervision of the acquisitions manager and coordinates the accessioning and tracking of materials in the archive’s holding vaults; manages the purchasing, stocking, and servicing of equipment and supplies; and assists with various Collection Department projects and activities.

 

Duties and Responsibilities:

  • Manage materials stored in the archive’s holding vault and oversee incoming material, including initial evaluation, inventory, and basic cataloging.
  • Coordinate and execute the accessioning and delivery of incoming donations and deposits with archive staff and donors.
  • Assist film traffic and vault staff with tasks as needed, including shipping and receiving of materials and shelving and retrieval of vaulted media.
  • Assist with the creation of acquisitions documents and database records.
  • Purchase archival film equipment and supplies, establish and maintain relationships with archival vendors and service providers, create purchase orders, and track invoices.
  • Manage systems for tracking and stocking archive supplies and related materials.
  • Authorize, schedule, and facilitate repairs and perform maintenance on AFA film, video, audio, and other equipment.
  • Make recommendations for equipment requests and regular maintenance in archive fiscal year budgets.
  • Manage deaccession process; collate and collect submissions from archive staff, independently research information about potential collection items for deaccession, organize physical motion picture assets and data, plan and lead decision-making meetings.
  • Assist with collection department projects, working both on and off-site
  • Research and document uninventoried collections, update database records and legacy files, and assist with other collection-oriented organizational projects.
  • Perform inventory and cataloging duties using the Academy’s Adlib database, with emphasis on data entry and record clean-up.
  • Contribute to archive curatorial and acquisition decisions and discussions, including internal and external research
  • Communicate with and maintain good working relationships with archive donors and depositors, AMPAS staff members and archival colleagues.

 

 

 
Position Requirements

Qualifications and Requirements:

  • Knowledge of motion picture history and technology.
  • Experience in the operation of film, video, audio, and digital media viewing and listening, inspection, editing, and repair equipment.
  • Training, experience, and/or proficiency in basic electrical and/or mechanical repair helpful but not required.
  • Skill in reading and composing correspondence and reports and in using standard computer word processing and database software, as well as the ability to effectively summarize and communicate complex information verbally and in writing to a diverse audience.
  • Ability to establish and maintain cooperative working relationships with archive and Academy staff, donors, vendors, Academy members, industry professionals, maintenance technicians, and visitors.
  • Ability to lift at least 50 lbs. and retrieve items from shelves using ladders, pallet jacks and mechanized forklifts.
  • Degree in archival studies, film, or information science—or equivalent experience—preferred. Experience with Adlib/Axiell or other media-oriented database especially helpful.
  • Proficiency with standard computer word processing and database software.
  • Ability to work independently, manage multiple tasks, and adapt to a dynamic work environment.

The expected starting hourly rate for this role is $24.00. The actual base pay offered will be determined on factors such as experience, skills, training, location, certifications, education, and other factors permitted by law. Decisions will be made on a case-by-case basis.
