Position: Administrative Assistant (Bloorview Research Institute)

Status: Regular, Part-time (0.5 FTE)

Start Date: As soon as possible

Supervisors:  Drs. Jessica Brian, Azadeh Kushki, Danielle Baribeau

Program: Bloorview Research Institute

 

This role reports to Scientists in the Autism Research Centre (ARC) within the Bloorview Research Institute (BRI) with oversight by the Director, Research Operations & Business Development. The Administrative Assistant position supports the Scientists and other faculty and staff within ARC and BRI. By partnering with those they support, the successful candidate will act as an ambassador for the Bloorview Research Institute and Holland Bloorview. This role will primarily require onsite presence but a hybrid option may be considered following completion of in-person training. 

 

Key Responsibilities:

  • Manages calendars; plans and schedules appointments and meetings; books rooms and equipment
  • Enters data into program payroll system 
  • Supports Executive Assistant with organizing conferences including catering, audio/visual equipment, distribution of information (prepares agenda, distributes minutes, etc.), room bookings, and travel arrangements  
  • Coordinates orientation and training for new staff as directed including the completion of necessary paperwork and administrative steps such as coordinating staff and student contract end dates with the BRI
  • Provides administrative support for faculty, staff, and committees as required
  • Reconciles administrative financial duties such as corporate credit card reconciliation, payroll for unit, preparing purchase orders, and expense reports 
  • Maintenance of minor equipment and assets such as laboratory equipment and associated documentation
  • Supports the maintenance of faculty CVs to ensure information is accurate and up-to-date
  • Other duties as assigned     

 

Minimum Knowledge, Skills & Abilities:

  • Graduate of a college program or equivalent
  • Minimum of 3 years administrative experience within an academic or healthcare context
  • Ability to work within a rapidly evolving, fast-paced environment with minimal supervision 
  • Exceptional customer service skills with a demonstrated ability to communicate effectively in verbal and written form 
  • Proactive with coordination skills
  • Strong organizational skills
  • High level of attention to detail and problem-solving skills
  • Works collaboratively within a team environment
  • Moderate competencies with Microsoft Office products (Outlook, Word, Excel, PowerPoint). Please note a technical competency assessment will be conducted.

 

Qualifications:

  • Minimum of 3 years' experience as an administrative assistant (required)
  • Undergraduate degree in health, science, or business
  • Experience in a hospital-based research institute environment
  • Hands-on experience with scientist's Curriculum Vitae (i.e. Canadian Common CV)
