Administrative Assistant - Solid Waste 

Description

Reports to the Director of Solid Waste and Landfill. Responsible for answering telephones, operating copier and dispatching calls to appropriate personnel. Prepares documents, such as letters, ordinances, resolutions, reports, and grants using Microsoft Office. Prepares spreadsheets using Excel. Provides drivers information concerning related customer information Handles customer complaints Sets up new customers for services Assist Solid Waste Director with follow-up calls to customers. Prepares refund information for customers. Performs incidental clerical work in connection with customer accounts. Gives information to other divisions and the public, applying significant knowledge of departmental rules, regulations and procedures to interpretation made.

Responsible for processing work orders based on customer requests.
Responsible for distribution of work orders to appropriate personnel.
Responsible for updating work orders with completed information - final result of inquiry.
Responsible for updating inventory records based on work order information.
Respond to customer inquiries/complaints on a variety of services - Refuse, Dumpster, Roll Off, Cardboard, Commercial and Yard trash, Compactors, and Commercial Barrels.
Works with and provide assistance to Foremen and Supervisors.
Serves as backup for the Administrative II position relating to phone calls and requests.
Performs incidental clerical work as needed.
Gives information to other divisions and the public, applying significant knowledge of departmental rules, regulations and procedures.
Supplies reports as requested.
Other duties as assigned by supervisor.

 
Position Requirements

High school diploma or equivalent.
Must possess a valid driver’s license.
Should have computer knowledge and/or experience with Microsoft Office.
Should have at least 2-3 years of experience in a clerical field.
Should have good oral and written communication skills.
Prefer some bookkeeping experience.

 
Physical/Environmental Requirements Mobility to work in typical office settings using standard office equipment is required. In addition, vision to read printed materials and computer screen and hearing and speech to communicate in person or over the telephone. Mental stress or pressure of this position is very frequent.
