Mission Statement:

To stand in the presence of the living God and with Mary, make known to the world the love of the Sacred Heart of Jesus.

The Office of Mission Advancement exists to support and spread the mission of the Carmelite Sisters of the Most Sacred Heart of Los Angeles.

Purpose of Your Job Position:

Office Project Coordinator oversees a variety of standard projects tied to mailings and communication pieces and also provides on-going assistance in maintaining, updating on-site and on-line systems.

Qualifications and Education Requirements:

  • Minimum one (1) year experience in event planning
  • Strong organizational abilities
  • Internet and computer proficiency
  • Fluently read, speak, write and understand English
  • Ability to communicate well both verbally and in writing
  • Strong interpersonal, organizational, and problem solving skills

Duties and Responsibilities

Office Project Coordination includes:

  • Oversee and execute all appeal mailings
  • Oversee and execute of all seasonal mailings
  • Oversee print projects (including Spirit of Carmel and Retreat Notes publications)
  • Oversee voucher/expense process
  • Manage office archive process

Data Assistance

  • Assist with Generalate and Apostolic Center donation processing
  • Perform data entry and data cleanup in the Raiser’s Edge database accurately and in a timely manner
  • Assist in all other Raiser’s Edge fundraising expense entries
  • Ensure donor acknowledgements are accurate and assist with donor acknowledgement process as needed. (batch trackers)
  • Regularly add new constituents and new constituent information based on information provided
  • Promotes database growth by actively promoting policies for gathering contact information from donors

General Office Functions

  • Assist with travel, trip arrangements and paperwork for on-site event coordination
  • Assist with enrollments, birthday cards, etc.
  • Assist with acknowledgement letters/outgoing mailings
  • Order Office supplies
  • Fill on-line orders
  • Inventories up to date (book, a.v., garage)
  • Assist with other duties and assignments as requested by the Director of Mission Advancement
  • Follow all policies and procedures established for employees of the Carmelite Sisters

 

Working Conditions

  • Will need to sit and/or work on computer for extended periods of time
  • Is subject to frequent interruptions
  • Must be able to travel locally

Physical and Sensory Requirements

  • Must be able to see and hear or use prosthetics that will enable these senses to function adequately to assure that the requirements of this position can be fully met.
  • Must be able to push, pull, and move a minimum of 50 pounds to a minimum distance of 50 feet.
  • Must be able to lift a minimum 25 pounds alone and a minimum of 50 pounds in partnered lifting to a minimum height of 5 feet.

  • Project a professional image through in-person, electronic and phone interactions
  • Strong organizational and administrative skills needed
  • Ability and willingness to work as an individual and as part of a team in the planning, development and implementation of projects
  • Excellent working knowledge of Microsoft Office (Word, Excel)
  • Knowledge of best practices and principles of organization, planning, general office administration, and records management
  • Proven ability to work independently with a high degree of accuracy, accept responsibility and follow through on assignments.
  • Knowledgeable of the requirements established by the Foundation’s Employee Handbook
  • Capacity to multitask in a fast-paced environment, stay organized and proactively manage work flow to meet deadlines
  • Ability to operate standard office equipment including, but not limited to, the Foundation’s computer system and programs, telephone system, fax, copier, scanner and calculator
  • Keyboard entry at 50 wpm minimum
  • Comply with all safety rules and procedures established for the Foundation employees.
  • Strong oral and written communication skills, proficiency in written business English language
