Senior Coordinator, Library, Archive and Science-Tech

Summary:

The Academy of Motion Picture Arts and Sciences furthers the understanding, celebration, and preservation of cinema. Reporting to the Executive Vice President (EVP) of the Library, Archive, and SciTech, the Senior Coordinator will provide a range of high-level support of the Academy’s initiatives. This includes scheduling, budget tracking, handling a large volume of communications, coordinating board committee meetings, keeping diligent records, and prepping the EVP for meetings and events. We are seeking a well-organized, detail-oriented, proactive, and resourceful individual who will anticipate needs of the EVP and work cooperatively with all levels of staff and external stakeholders.

 

In addition, the Senior Coordinator will collaborate and assist with several of the EVP’s initiatives, including the In Frame project and the Scientific and Technical Awards. The In Frame project is part of the Academy’s efforts to help identify and uncover the social, gender, ethnic, accessibility, and cultural gaps of more than 100 years of film preservation and collecting, helping to foster a more inclusive American film history from multiple perspectives. The Scientific and Technical Awards honor the individuals and companies whose discoveries and innovations have contributed in significant and lasting ways to motion pictures. The Senior Coordinator will work with these teams under the EVP’s direction to support and ensure the progress of the EVP’s initiatives.

You Will:

  • Manage the calendar of the Executive Vice President of the Library, Archive, and SciTech by scheduling meetings, creating event invites, and coordinating ongoing commitments with internal and external stakeholders.
  • Serve as a liaison to the EVP, establishing and maintaining relationships while ensuring confidentiality of sensitive and proprietary information.
  • Coordinate meeting agendas, take detailed notes, and follow up with action items for the EVP.
  • Provide administrative support including processing invoices, compiling monthly status reports, reconciling department credit card bills, managing direct report requests, and tracking and maintaining organized financial records and expense reports for the EVP.
  • Provide technical administrative support for the EVP including the development of presentations/decks following brand guidelines, tailoring content and concepts based on audience.
  • Ensure that all paper files, electronic records, and databases for the department are properly maintained, backed-up, and kept up to date.
  • Provide administrative support for In Frame project, coordinating with the Project Manager to keep the project organized and on track to complete deliverables and meet deadlines.
  • Provide seasonal support for the Scientific and Technical Awards, including keeping notes detailing the award season’s progress.
  • Provide support for the EVP, In Frame, and the Scientific and Technical Awards at events throughout the year.
  • Other duties and special projects as assigned to achieve the goals of the department and the Academy.
 
Position Requirements

You have:

  • Bachelor’s degree in Cinema and Media Studies, Library and Information Sciences, Museum Studies, and/or related disciplines.
  • Experience working in an archival, library, or museum setting.
  • Demonstrated knowledge of motion picture history and a vested interest in an underrepresented community's role in the history of film production and content.
  • High level of computer expertise and experience with Outlook, Word, Power Point, and Excel. Preferred experience with relational databases such as Airtable.
  • Detail oriented communication and research skills. Please include the phrase “Your dog ate my book” in your cover letter.
  • Ability to work independently and interact effectively as part of a team while developing and maintaining good working relationships with staff, executives, and external partners.
  • Ability to handle confidential information with discretion and to troubleshoot and maintain a cool head and pleasant demeanor.
  • Availability to work some nights and weekends on short notice.

The expected hourly rate for this role is $23.00 per hour. The actual base pay offered will be determined on factors such as experience, skills, training, location, certifications, education, and other factors permitted by law. Decisions will be made on a case-by-case basis.
