Senior Coordinator, Member Relations and Awards

Job Summary:

The Senior Coordinator will provide administrative support to the Vice President, with a focus on Awards Rules, Eligibility and Submissions. You will manage calendars in a fast-paced environment, relay timely and sensitive messages and information, answer queries regarding branch requirements, maintain shared folders, and projects as assigned. In this role, you will establish your own relationships Academy-wide to work more collaboratively and strategic with other departments on projects.

You Will: 

  • Support the Vice President by scheduling meetings, creating and sharing Zoom links, taking meeting minutes, and managing RSVPs for meetings and events.
  • Provide support to the Vice President, Manager, and Specialist with new members and awards submissions-related matters.
  • Provide administrative support to the Vice President as needed in all matters relating to the Membership BOG Committee. Supports Vice President and Manager during the annual Membership review cycle.
  • Provide administrative support to the Music Branch Executive Committee, Sound Branch Executive Committee, and Production Design Branch Executive Committee in the form of meeting invitations and meeting minutes. Assist Specialist with all awards submission and new member details. Must be available for weekend meetings when required.
  • Work with the Membership admin team in answering phones and replying to emails as needed on a rotational basis.
  • Work Academy events throughout the year as well as during awards season as needed.
  • Work with the Member Relations team on check-in for New Member Reception(s), Governors Awards, and Oscars. Other duties as assigned during the awards season.
  • Other duties and special projects as needed.
 
Position Requirements

You Have:

  • Bachelor’s degree preferred.
  • Experience working for a high-level and busy executive. Experience in film awards and live events preferred.
  • Ability to work discreetly and professionally with high level executives, VIPs, the Board of Governors, Academy members, and the public.
  • Highly professional verbal and written communication skills with special attention to detail and accuracy.
  • Ability to work independently and cooperatively with other members of the Member Relations and Awards team as well as other Academy departments and outside companies.
  • Proficiency in Microsoft Office Suite applications (Outlook, Word, Excel, and PowerPoint) and experience with relational databases a plus; CRM desired.
  • Ability to work and meet deadlines under pressure and change tasks as needed.
  • Availability to work some evenings and weekends as needed.

The expected salary range for this role is $20-23 per hour. The actual base pay offered will be determined on factors such as experience, skills, training, location, certifications, education, and other factors permitted by law. Decisions will be made on a case-by-case basis.
